Job summary

Are you looking for a part-time opportunity in finance for an initial fixed term period (0.50 fte for 12 months; exact hours to be discussed)? Are you keen to progress your career in a supportive team? We are looking for a part time cashier to join our friendly team on a fixed term basis.

Main duties of the job

This role is part of our General Accounts team which covers a range of functions including looking after service users' monies; carrying out reconciliations; looking after petty cash, cards and travel bookings; and other areas. The primary responsibility of this half time (c. 18.75 hours) role is to act as cashier managing all petty cash reimbursement and overseeing the cash safe.

You will be: confidently numerate and comfortable handling cash; computer-literate, ideally with Excel skills; have attention to detail; and be able to communicate effectively and influence others. Above all you will be keen to support our service users and staff by facilitating payments, and be motivated by balancing accounts and ensuring cash and paperwork is well-managed. Due to the nature of the role, it will require being present in the office 2 days a week, more if the hours are worked over 5 days.

About us

The General Accounts team is a small group who work effectively together and support one another in their roles. They are part of a wider Finance Team who pride themselves in providing an excellent level of service to the organisation. The department is involved with One NHS Finance and the HFMA and we take full advantage of the learning opportunities they bring; training and development are encouraged and supported for all roles.

We a well-respected team within the wider organisation, with a strong track record, proven as a previous winner of the HFMA Finance Team of the Year award. Our base is in a newly refurbished suite within the Trust's Head Office in Hatfield. We do currently work on a hybrid basis and exact hours for this part-time role can be mutually agreed, however it does include cash handling, by necessity this will require being present in the office on at least 2 days a week (not necessarily full days).

Job description

Job responsibilities

Maintain a high value petty cash float ensuring that disbursements are made in accordance with Trust procedures. This may be held on a separate site and require frequent travel.

Assist in the maintenance and processing of the Trusts pre paid cards in accordance with Trust procedures.

Ensure all monies received are recorded and processed promptly.

Ensure accurate recording of income and expenditure to the financial ledgers.

Plan and organise workload to ensure activities are carried out in accordance with The Trust Standing Financial Instructions and internal procedures.

Provide cover for other Financial Services Team members as necessary.

Deal with routine, confidential and often sensitive queries.

Ensure compliance with both Trust policies and procedures and statutory financial regulations relating to the post holders specialist area of the function.

Refer matters to Financial Services Team Manager where agreement to comply with Trust and statutory regulations cannot be achieved.

Analyse and resolve issues that are highlighted as the result of queries, discussions, regular reporting and reconciliations, using advice to take appropriate action to eliminate future reoccurrence.

Responsible for communicating information in an appropriate format to the recipient and providing support and advice to Trust representatives within delegated authority.

Maintain knowledge of current financial procedures and regulations.

Discuss routine issues with non-finance staff in an understandable way.

Other Responsibilities

Undertake as necessary any work to ensure all income due to the Trust is received in a timely manner and in accordance with NHS cash management rules.

Assist in the design and implementation of new systems and procedures to improve financial & accounting services, taking into account the impact of other teams.

Assist with training of new staff members ensuring that training is appropriate to the needs of the recipient and reflects the position of the specialist area within the whole function.

Ensure that separation of duties within the finance function is adequate and maintained at all times.

Plan and organise own workload and that of the team to ensure weekly, monthly, quarterly and annual financial timetables are met whilst ensuring that activities are completed within timescales to deliver an efficient and effective service.

Ensure IT skills are kept up to date, to enable financial data to be input and reported with speed and accuracy.
