Job summary

Worcestershire Acute Hospitals NHS Trust Breast Imaging comprises two separate breast imaging services, the activities of the NHS national breast screening programme and the activities of the trust symptomatic and surveillance breast imaging.

This vacancy is predominately relating to the business and data capture of the NHS national breast screening programme.

Significant amounts of time will be spent interrogating and manipulating data; whether data input, data reporting or KPI monitoring and liaison with service stakeholders.

The post holder will be required to be proactive, possess excellent keyboard skills and have a strong eye for detail; become adept at operating a number of IT systems, have very strong organisation skills and be a confident user of advanced Excel. Working alongside and reporting to the Data Manager, the post holder will become a member of a hard working administrative team based at the Worcestershire Breast Unit at Worcester Royal Hospital in Worcester.

Hereford & Worcester Breast Screening delivers the breast screening programme across the 2 counties at a number of sites using either mobile mammography units or hospital locations.

Main duties of the job

  • Liaison and communication with breast imaging colleagues, histopathology, surgery, oncology, MDT Co-ordinators, regional commissioning team, GP's, management & Screening Quality Assurance Service.
  • Collection and input of clinical data for all screen detected and interval cancers.
  • Management of screening client appointments which may involve communication via the telephone, email and in person.
  • Accurate record keeping and management adhering to screening programme and Trust standards; both paper and electronic format.
  • Identification and reporting of any concerns; problem solving & prioritisation of workload.
  • Reporting of performance and KPI data to a strict reporting schedule.

Post Title: BREAST IMAGING INFORMATION ASSISTANT

Key Working Relationships:

Internal: Consultants, medical staff both inside & outside the department, other health care professionals, medical secretaries, administration teams.

External: Patients, relatives/care providers, GP surgeries, external suppliers, other NHS services/advisors

Job Purpose:

This post is fundamental in the delivery of the administrative and clerical function of the screening and symptomatic breast imaging service to ensure data is collected, analysed and reported within timescales determined by National guidelines. This post supports the principal role to fulfil the administrative and clerical functions of the Breast Imaging Service and to assist in providing the best quality care for clients and patients.

Key Duties:

Efficient & effective use of administration skills and self management to facilitate the administration needs of the Breast Imaging department and their associated parties.

To exhibit excellent communication skills, a high degree of accuracy, speed and the ability to work independently.

Efficient and effective operation of the IT systems used in the business of the NHS National Breast Screening Programme, the business of the Worcestershire Acute Hospitals NHS Trust. Including, but not limited to NBSS, Oasis, Bluespier, eZ Notes, B S Select (Open Exeter), Microsoft Office, CRIS, IEP, Envoy Messaging, NHS Spine.

Administration of the functions required to facilitate the call/recall programme for Breast Screening clients for the counties of Herefordshire & Worcestershire and to work to comply with the set KPIs (key performance indicators) .

To acquire an excellent working knowledge of the breast imaging service so the position can be performed with confidence to assist clients of the breast imaging service with making informed choice.

Responsible for supporting the Data Manager in the delivery of high quality information regarding the Breast Screening Service KPIs.

Liaise with Pathology, Surgery and MDT Co-ordinators across Herefordshire and Worcestershire to ensure the accurate collection and input of clinical data for all screen detected and interval cancers.

To assist in the provision of routine and ad-hoc information to support the effective management of the Breast Imaging Service to agreed quality standards and deadlines.

To provide the best quality customer care so that clients use the Breast Imaging Service with confidence and can make informed choices, which promote their health.

Face to face, verbal, written communication and liaison with clients, Trust Staff and other external parties.

Ensuring accurate records are kept and work to relevant service standards at all times.

Analyse reports for validation and data quality purposes, bringing any issues identified to the Data Managers attention.

Collate information and produce reports from the National Breast Screening Service (NBSS) computer system using appropriate reporting tools, both on a regular and an ad hoc basis.

Develop and implement new reporting practices and procedures to work towards attainment of robust, fit for purpose, quality data.

Interrogate computer systems to obtain and check data to identify anomalies, investigate the reasons and implement procedures to ensure that data is accurate and valid for the purposes of reporting Breast Imaging Outcome Measures.

Process routine queries and produce monthly reports to support monitoring of waiting times and outcome measures within Breast Screening.

Fully comply with the Data Protection Act and Freedom of Information Act and have a thorough understanding of how the Acts impact on the day to day work of the Imaging Service. To communicate these responsibilities to colleagues when dealing with sensitive data, in line with the Data Protection Policy.

To identify areas of change where information management can be improved and to flag up concerns to the Data Manager, along with possible security issues.

To ensure that all relevant information process documentation is kept up to date in both written and electronic format, archiving non current information and auditing information being entered onto and deleted from core information systems.

Demonstrate a wide range of problem solving skills, including allocation and prioritisation of workload.

At all times to adopt a flexible, positive and energetic approach to work so that the services of Breast Imaging are promoted and sustained for the benefit of the service, the Trust and patients.

To adhere to Trust and departmental standard, policies and operational procedures.
