Job summary

An exciting opportunity has arisen for an experienced medical secretary to join our friendly and professional team as a full time Senior Medical Secretary, working 37.5 hours per week, within the Gastroenterology Department at Worcestershire Royal Hospital. The successful candidate will work alongside the existing secretarial team to provide comprehensive and efficient typing and administration support.

We would like to hear from highly motivated and flexible team players with excellent organisational and communication skills. The ability to work under pressure and effectively prioritise your own workload is essential. We are looking for a candidate with high standards and an eye for detail. You must have the ability to multitask and work in a busy, ever-changing environment. You will be able to work on your own initiative as well as within a team, with well-developed communication and interpersonal skills.

The role will include responsibility for Consultant and junior doctor diary management, typing of outpatient appointment letters and other correspondence to GPs and other clinical professionals, dealing with enquiries from clinicians, GPs, other hospitals, patients and their relatives, updating medical records and inputting data to support the attainment of Divisional targets.

In addition, the post holder will be required to support the Directorate Management Team with the tracking and validation of patient pathways to achieve the National 18 week Referral to Treatment (RTT) target.

To accept enquiries from clinicians, GPs Health Service and Social Services personnel, other hospitals, voluntary agencies, patients and their relatives. Patient contact by telephone is an integral part of the role.

To work using own initiative with minimal supervision, prioritising own workload in line with objectives of the department and consultant teams.

To deal with all incoming correspondence, phone and email in an efficient and effective way.

To liaise with other members of the secretarial / administration team in order to provide a co-ordinated and efficient secretarial service.

To support the Directorate Management Team with the administration, tracking and validation of patients pathways to achieve the National 18-week Referral to Treatment (RTT) target.

To liaise with patients, relatives and staff demonstrating sensitivity and maintaining professionalism at all times.

To deal with any complaints, problems or issues in a sensitive way, escalating to clinicians / management as appropriate.

To assist in providing cover for other secretaries in the Medical Directorate to ensure continuity of service to Consultant, medical staff, service users and patients.
