Job summary
An exciting opportunity has arisen for an experienced secretary to join our friendly and professional team as a full time Senior Medical Secretary, working 35 hours per week, within the Trauma & Orthopaedic Department. The successful candidate will work alongside the existing secretarial team to provide comprehensive and efficient typing and administration support.
We would like to hear from highly motivated and flexible team players with excellent organisational and communication skills. The ability to work under pressure and effectively prioritise your own workload is essential. We are looking for a candidate with high standards and an eye for detail. You must have the ability to multitask and work in a busy, ever-changing environment. You will be able to work on your own initiative as well as within a team, with well-developed communication and interpersonal skills.

Main duties of the job
The role will include responsibility for Consultant and supporting team diary management, typing of clinical documentation and other correspondence to GPs and other clinical professionals. Dealing with enquiries from clinicians, GPs, other hospitals, patients and their relatives, updating medical records and inputting data to ensure a high standard of data quality. Supporting the team in the attainment of Divisional targets. In addition, the post holder will be required to support the Directorate Management Team with the tracking and validation of patient pathways to achieve the National targets. To undertake medical audio typing duties along with taking
the initiative in creating additional documentation to ensure accurate record
keeping and appropriate action taking. Dealing
with outpatient appointment requests, results letters to GPs, discharge
summaries and other official medical correspondence.
Take enquiries from clinicians, GPs, health services,
patients and their relatives and action as appropriate, contacting the relevant
clinical support as required.
To accept telephone and email enquiries from clinicians, GPs,
health service and social services personnel as well as from other hospitals,
voluntary agencies, patients and their relatives.
To work using own initiative with minimal supervision,
prioritising own workload in line with the objectives of the department and
consultant teams.
To deal with all incoming correspondence by phone, post and
e-mail in an efficient and effective way.
To liaise with the other members of the secretarial/
administration team in order to provide a coordinated, supportive and efficient
secretarial service.
To communicate with patients, relatives and staff
demonstrating sensitivity and maintaining professionalism at all times;
escalating any complaints, problems or issues to clinicians or management as
appropriate.
To ensure confidentiality is maintained at all times
complying with the Data Protection Act, Information Governance and other Trust
