Job summary

Directly supports the Patient Safety team members in the development of safety strategies and responses at trust and divisional level.

Supports the Patient Safety Team and Head of Patient Safety in service delivery

To provide support for the patient safety and risk management team, including Datix and eConsent system administration; helping to ensure compliance with the trust's policy on incident investigation and risk management - Produce reports as required and assist in the analysis of data

Support the overall trust wide delivery of the Patient Safety Strategy, with a particular focus on complex incidents and safety learning and improvement events Trust wide. Works with the Patient Safety Incident Investigators & Patient Safety Learning and Improvement Lead, planning and organising complex improvement or learning activities or programmes of work, related to the Patient Safety agenda.

Uses day to day administrative procedures, including specialised IT (Datix) systems and project management systems, generating data and reports and exporting data to the Learn from Patient Safety Events (LFPSE) system.

Main duties of the job

Day to day administration of the patient safety alert management system, STEIS reporting system for serious incidents.Works closely with the divisional governance teams directly, in the day to day oversight and management of safety related incidents.Works to deadlines in a fast paced demanding environment whilst maintaining accuracy and attention to detail.Assists in the development and preparation of safety related improvement plans or learning events related to the safety agenda, plans key work streams in relation to the agreed activities.

Assists with the project planning around safety events, gathering and/or developing supporting materials, working directly with the Patient Safety Manager and Patient Safety Learning & Improvement Lead on implementation. Undertakes agreed audits & surveys related to safety projects, working Trust wide to assess and report on the overall impact.Gather & produce information to ensure the Safety Investigating Managers, have all the relevant information they need to progress investigations and reports and for meetings with patients/families. Ensure papers, minutes and the weekly action trackers are available each week, working directly with the Chair to ensure the smooth running of the Group. Arranging room bookings and videoconferencing as required for the meeting. Assessing, reviewing and returning reports that do not meet the agreed standards, providing advice to the authors on the required improvement.

Essential

  • Good knowledge of Office PC applications specifically Microsoft Excel and Word.
  • Able to enter patient safety data into relevant IT systems, with oversight and management of that information.
  • Able to process data or information into clear and concise reports.
  • Good communication skills and ability to communicate confidently and effectively with staff at all levels of the organisation.
  • Ability to form excellent working relationships.
  • Able to analyse data using the associated software, producing graphs and reports accordingly.
  • Able to develop & review Trustwide policies that support the safety agenda. .
  • Undertakes surveys in relation to agreed work areas, producing data & reports for wider consideration, making recommendations where necessary..
  • Able to assess a range of options and use own judgements to determine the best course of action.
  • Confidence to work with minimal supervision, with ongoing checks of progress, uses own initiative and escalates issues when required.
  • Ability to learn new systems and processes and train others in their use.
  • Prioritises own workload and manages own time to ensure priorities are met and quality is not compromised.
  • Monitors the quality of work in own area and alerts others to quality issues
  • Effective communication with managers, some of which will involve providing and receiving complex information.

Desirable

  • Basic knowledge of SQL.
  • Ability to create, manage & update web pages.
