Job summary

An exciting opportunity has arisen for a Patient Pathway Tracker and Validation Administrator within the Specialty Medicine Divisional Management Team at Worcestershire Royal Hospital.

We are seeking an enthusiastic and motivated person who is able to work well both within a team as well as unsupervised. Whilst full support will always be available, you will need the motivation and discipline to manage your own assigned workload, but escalate issues or concenrs where necessary. Attention to detail is essential as you will be dealing with repetition where accuracy is key. You will need to have experience of using Microsoft Office, experience of working in an NHS environment, as well as a good understanding of the 18-Week Referral to Treatment (RTT) pathway.

Main duties of the job

The postholder will ensure progression of the patient journey through the care pathway in accordance with the 18-Week RTT (Referral to Treatment) guidelines and requirements. In addition to this, the post holder will work closely with the Specialty Medicine Divisional Management Team (DMT) and will liaise with the necessary admin and clerical staff to progress patient pathways and will ensure accuracy of waiting lists throughout all stages of the pathway, producing reports for the DMT to demonstrate this progression.

Job responsibilities

Job Purpose:

To ensure progression of the patient journey through the care pathway in accordance with the 18 week RTT (Referral to Treatment) guidelines and requirements.

The post holder will work closely with the Specialty Medicine Divisional Management Team (DMT) and will liaise with the necessary admin and clerical staff to progress patient pathways and will ensure accuracy of waiting lists throughout all stages of the pathway, producing reports for the DMT to demonstrate this progression.

Key Duties:

To source, collect and validate accurate RTT data from differing PAS systems, in accordance with agreed practices and standards.

Investigate and interrogate the Trusts PAS systems efficiently and accurately to provide RTT status, eliminate errors as identified and ensure any corrections that are identified are forwarded to the relevant department for action

To actively support the DMT in identifying, reporting and resolving department issues in order to achieve a high standard of data quality and completeness of RTT data

To support the Secretarial staff in providing advice and guidance on RTT related matters, and where necessary provide training as appropriate to ensure pathways are moved on where possible and to ensure any trends identified with quality are addressed

To validate pathways as instructed by the DMT

To produce statistical information in report format using Excel

To assist the directorate management teams with the compilation of the weekend plan.

To undertake a process of validation of renal data for submission to other NHS Trust.

To produce a weekly divisional performance report.

To undertake any photocopying and collation as required.

Assist and undertake audits and collect data as required and on a need to know basis

Liaise closely with supporting specialties to ensure patients move along their pathways in a timely manner

To undertake other duties as and when required due to changing demands of the service / department as instructed by the line manager

General Duties:

To demonstrate a wide range of problem solving skills involving allocation and prioritising of work load.

To promote excellent working relations in order to deliver a high quality service.

At all times adopt a flexible, positive and energetic approach to work

To be familiar with and adhere to Trust and departmental policies and operational procedures.

To keep up to date/trained with on new procedures and systems within the department and the Trust.

In the event of equipment breakdown (e.g. Office equipment). Notify the relevant technical support of the fault and ensure colleagues of such an event are updated.

To ensure a clean, tidy and safe environment.

To participate in the departmental appraisal programme.

To develop and maintain effective working relationships with other staff in the departments across the Specialty
