Support Medical Secretary, Stroke Medicine

Job summary

An exciting opportunity has arisen within the Medicine Directorate for a Support Medical Secretary to work 30 hours per week within our Stroke team, based at Worcestershire Royal Hospital. The successful applicant will ideally have previous secretarial experience, and possess excellent verbal and written communication skills, to work within the existing secretarial team.

The role will involve supporting the Senior Medical Secretaries on a day to day basis with typing of outpatient letters to GP and other correspondence; dealing with enquiries from clinicians, GPs, other hospitals, patients and their relatives, updating medical records and inputting data to support with divisional targets, in addition to supporting the Directorate Management Team with tracking and validation of patient pathways to achieve the National 18-week Referral to Treatment (RTT) target.

Main duties of the job

To support the Senior Medical Secretaries.

To provide cover in the office during the absence of the Senior Medical Secretary on annual leave, sick leave, etc.

To support the Directorate Management Team with the administration, tracking and validation of patients pathways to achieve the National 18-week Referral To Treatment (RTT) target.

To assist with the sorting of the day to day incoming mail, taking action or referring back to the senior medical secretary, where necessary.

To undertake medical audio/copy typing duties, including outpatient letters to GPs, discharge summaries and other official correspondence.

To accept enquiries from clinicians, GPs Health Service and Social Services personnel, other hospitals, voluntary agencies, patients and their relatives. Patient contact by telephone is an integral part of the basic role. To deal with these enquiries or refer back to the Senior Medical Secretary where necessary.

To assist with the daily administration for the GP Advice & Guidance Service

To ensure that all documentation is uploaded to the electronic patient records accurately and in a timely manner

To participate in the use of the PAS system to establish patient information and produce patient documentation as required.

To assist in providing cover for other secretaries in the Medical Directorate to ensure continuity of service to Consultant, medical staff, service users and patients.

To undertake any photocopying and collation as required.

To undertake any other duties as may be required/appropriate by the Senior Secretaries/ Directorate Support Manager.
