Job summary

The role of the waiting list coordinator is to work with the management team and the medical secretaries within the Women's and Children's Division, to validate data entered onto the hospital patient administration system about a patients waiting time, and to ensure that information is accurate, and patients are seen in a timely manner.

Main duties of the job

To locate missing data by whatever process is necessary including working with medical secretaries, reviewing case notes etc.

Ensure all outcomes for relevant patients are updated and entered into the relevant system following hospital attendances.

To acquire and maintain knowledge and skills in the interpretation of relevant medical terminology

To identify and action data quality issues as appropriate.

Identify and amend inaccuracies on the PAS system

Maintain strict codes of confidentiality and security at all times as the nature of the work involves the handling and processing of sensitive personal data, and adhere to the Data Protection Act

To validate and enter 18 week RTT data accurately and efficiently onto the PAS (OASIS) for the monitoring of patients pathways and for the collection of statistics.

To support the Directorate in validation of the waiting list, escalating any concerns to the management team as appropriate

To answer the telephone and deal efficiently and politely with queries regarding 18 week pathways and patient information.

To liaise with the Directorate Management team and medical secretaries to ensure that potential breaches are reviewed and action taken to stop patients breaching.

To actively support the Directorate Manager in identifying, reporting and resolving departmental issues in order to achieve a high standard of quality and completeness of RTT data.

Liaises with: The role will incorporate liaising with Medical Secretaries in order to discover information regarding patient pathways. Communication with central validation team members is required in order to ensure patient data is correct on OASIS (PAS).

Sitting at computer desk viewing computer monitors for long periods.

Consistently high level of concentration required to analyse and edit patient data on OASIS (PAS)

Consistently high level of attention required to analyse patient information from electronic clinical notes.

Job Purpose:

The 18 week pathway requires the NHS to measure the total period waited by each patient and to manage each patients journey from referral to treatment in a timely and efficient manner. Providing accurate information on how long pathways are is essential; improvements to services rely on information being reliable and being provided as close to real-time as possible, and reports to the DOH are produced and published so that patients can see how long they will wait at each Trust.

To enable the Trust to monitor, report and performance manage the 18 week target. Referral to treatment (RTT) data has to be recorded across all consultant led clinics and some other outpatient functions.

To identify and action data quality issues as appropriate.
