Job summary

We are recruiting a Senior Medical Secretary to join our Cardiology admin team supporting our Cardiology Consultants and Directorate.

Ourfriendly, experienced Cardiology admin team currently consists of 8 Senior Medical Secretaries across Worcestershire Royal Hospital and Alexandra Hospital, and one Support Secretary.

The successful applicant will be working full-time (12 month Fixed-term contract) primarily at the Worcestershire Royal Hospital, and flexible working hours can be discussed at interview.

Main duties of the job

The main duties include typing a variety of letters/correspondence through audio typing, answering queries from GPs and patients via telephone and email, and undertaking secretarial duties such as scanning, filing and booking appointments.

You will need to prioritise your workload, work under minimal supervision, be flexible and professional, and have excellent communication skills.

The main duties of a Senior Medical Secretary include:

To undertake medical audio / copy typing duties, including outpatient letters to GPs, discharge summaries and other official correspondence.

To accept enquiries from clinicians, GPs Health Service and Social Services personnel, and other hospitals. Patient contact by telephone is an integral part of the role.

To deal with all incoming correspondence, phone, fax and email in an efficient and effective way.

To liaise with other members of the secretarial / administration team in order to provide a co-ordinated and efficient secretarial service.

To liaise with patients, relatives and staff demonstrating sensitivity and maintaining professionalism at all times.

To deal with any complaints, problems or issues in a sensitive way, escalating to clinicians / management as appropriate.

Ensure confidentiality is maintained at all times, complying with the Data Protection Act, Information Governance and other Trust / Departmental Policies.

  • Recognised word processing / typing qualification
  • Proven secretarial experience in healthcare environment.
  • Experience of working in a busy office
  • Audio typing using Digital Dictation
  • In-depth working knowledge of Microsoft Office
  • Excellent verbal and written communication skills.
  • Flexible and adaptable.
  • Able to work under pressure.
  • Ability to work under own initiative and part of a team.
  • Highly motivated.

Desirable

  • Knowledge of NHS systems.
  • NHS experience.
  • Use of OASIS PAS system, Bluespier, EZ notes and Digital Dictation
