Job summary

To provide an administrative support function to the Microbiology division of Pathology

To assist in the provision of a microbiological service that is of high quality and cost effective for clinical, environmental, research and training purposes.

Provide general administration support to the Microbiology Senior Team, Technical, Clinical, Research and others as required.

Main duties of the job

  • Support the training programme director in the production of documents to support clinical attachments, course requirements and training module production.
  • Liaise with a variety of staff within Pathology and the Trusts as directed and act as the Microbiology point of contact.
  • Deal with patients, visitors and staff in a courteous and professional manner.
  • Be able to work independently and manage own workload to make effective use of time and resources and working to Trust and Pathology values and behavioural standards.
  • Work flexibly and undertake other duties commensurate to the grade as required

Job responsibilities

  • Provide general administration support to the Microbiology Senior Team, Technical, Clinical, Research and others as required.
  • To organise and maintain accurate appointment diaries for Senior staff.
  • Administrative duties associated with the receipt, collection, handling, production and distribution of written materials and electronic records.
  • Maintain Office information systems including mailing lists as per staff turnover.
  • Arrange meetings and book rooms as and when required.
  • Support the other admin and clerical staff with the organisation of meetings arranging agendas, booking rooms and paper distribution, tracking of research, development and change management documentation and production of meeting minutes.
  • Attend meetings as required, take minutes and produce a record of meetings for distribution to staff.
  • Support the other admin and clerical staff with the extraction of data from the LIMS system and maintenance of clinical and research activity records.
  • To receive and distribute post appropriately within the department.
  • Photocopying, laminating, scanning, filing and letter writing as required.
  • Collect and analyze data as requested. Providing data and graphical representations to the senior team for inclusion in overarching reports.

  • Educated to secondary level including Math's and English language.

Desirable

  • Recognised administration qualification e.g. NVQ/ECDL or equivalent

Experience

  • Recent experience in a clerical/administration role
  • Experience in use of Microsoft Word, Excel and Outlook.
  • Able to take minutes of meetings and produce reports from them as required.

Desirable

  • Recognised administration qualification e.g. NVQ/ECDL or equivalent
  • Experience in use of Q-pulse, Datix, ilab, e-roster, Medirota, locums nest, track-it and other systems

Analytical and Judgement skills
