Job summary

The post holder will be responsible for ensuring effective coordination and administration of the Children's elective admissions, waiting list and admission services within Children's Services in line with national policy and locally agreed guidelines.

The day to day role will include liaising with the surgical, consultant and wider team to ensure the theatre lists are fully utilised. To make contact with the families to book patients in and manage the waiting list alongside the management team. To prospectively manage clinic slot availability to ensure maximum efficiencies within the service to agreed templates ensuring annual/study leave impact on theatre utilisation is minimised, in a timely manner. To ensure and deliver a Patient Pathway in accordance with Local and National Guidelines in relation to Referral to Treatment (RTT 18 weeks).

The post holder will need to be an excellent communicator with strong interpersonal skills who can acknowledge the pressure on the medical staff to ensure that the patients are admitted in a timely and efficient manner.

Main duties of the job

To implement and be responsible for setting up, maintaining and monitoring the waiting list ensuring that the suspensions, cancellations and DNA's are recorded and dealt with according to the UHL Patient Access Policy.

To ensure full utilisation of Theatre slots available.

To ensure all Local and National Standards are applied to the Waiting List, RTT Data Quality checks and the UHL Patient Access and Data Management Policy.

To ensure patient admission details are arranged in conjunction with agreed booking procedures, and patients informed by post or telephone. To ensure any cancellations are replaced as agreed with Consultants and inform theatres and wards etc.

Daily responsibility for making pre-assessment clinic appointments ensuring the completion of the appointment outcome within 24 hours of the clinic.

To schedule theatre lists as delegated by Consultant teams.

To ensure that any special equipment/requirements (eg ITU/HDU, foreign case notes, interpreters, scans, x-rays and prosthesis), are arranged for admission.

To liaise with ward staff/managers and patients on day of admission to ensure patients are informed of bed availability or cancellation/new date of admission.
