Job summary
The Adult intensive care unit (AICU) at Glenfield Hospital are seeking to recruit a part time ward clerk. Candidates should be enthusiastic, self-motivated and organised.
This post is part time and for 23hrs per week (2x 11.5hr shifts within a 7 day working week). Please note these are not set days and some flexibility will be required. The successful candidate should have excellent communication skills, and a good understanding of basic computer skills. Knowledge of hospital Patient Center / HISS is an advantage; however training will be given to the right candidate.
A caring and compassionate outlook is also essential in dealing with the stressful and demanding situations that can occur within the AICU setting; however the main role of the ward clerk is to provide support for the AICU team in clerical duties, and in the day to day running of the AICU. Occasionally you may be required to work flexibly cross site to cover for annual leave.

Main duties of the job

To provide an effective and efficient administration support service including reception duties, preparation of clinical case notes for AICU and to work as part of a team providing high quality care to patients and their carers.

Produce temporary files for patients admitted onto the ward

Using the Trusts IT systems ensure patient case notes and relevant paperwork are updated and readily available, filed correctly in the ward trolley for the entirety of the patients stay on the ward
-
Use the trust IT systems to reflect patient movements including admit, transfer and discharge patients and clinical attendances, always make sure the patient demographics are up to date and follow up appointments are booked

Register new patients, source and retrieve case notes from the trust and other hospitals liaising with the medical records department

Ensure patient labels are attached to every document within the patient file
-
Complete front sheets for the notes showing dates of admissions and discharges
-
Merge paper case notes and supply comprehensive paper records to the clinical coding team to ensure activity is recorded correctly

Ensure all discharge summaries (written by doctors) are completed correctly and all laboratory results are filled in the case notes after being checked and signed by doctors
-
Be the first point of contact for staff, visitors and callers, respond to enquiries as appropriate and answering and directing calls

Ensure messages are passed on to patients from their relatives and messages given to the clinical team and to call patients next of kin to update them

To be able to organise time effectively

The post holder should be able to communicate effectively with a variety of people remaining courteous at all times, especially when dealing with patients & relatives

To be able to remain calm under pressure
