Job summary

We are looking for a dedicated and organised Project Support officer to join our Ophthalmology team.

In this role you will provide essential support to the Senior Service Manager, ensuring the smooth planning, co-ordination and delivery of projects. Responsibilities include maintaining documentation, tracking progress, facilitating communication across clinical and administrative teams and assisting with resource allocation. The ideal candidate will have strong organisational skills, attention to detail and the ability to work collaboratively in a fast paced environment.

Main duties of the job

  • Liaise with Care Groups, wards, departments, other providers in respect of issues to ensure an efficient service is maintained and projects are delivered on time
  • Be competent in developing and maintaining good working relationships with colleagues across the Trust and external partners
  • Able to work under pressure, use own initiative and work from minimal instruction to assist the Care Group's senior management team with their workloads
  • Provide an efficient customer service, welcoming visitors and dealing with enquiries in person or via letter, email or telephone
  • Undertake effective electronic diary management where appropriate including arranging meetings/conferences
  • Manage meeting agenda preparation, take minutes/notes and develop/record actions in meetings, workshops, task & finish groups, etc. - allocating a lead and timescale for completion, and ensuring updates are received in a timely manner
  • Project management duties such as liaising with co-ordinating programme of work/activities
  • Analysis and support to the successful delivery of projects
  • Assist the Divisional Teams in developing and delivering projects on time and to budget
  • Assist with day to day project management duties and small scale projects consummate with level of knowledge
  • Assist and develop project reports in line with Head of Information and Governance instructions
  • Support the operational divisional teams with preparation for meetings, performance reviews, peer reviews, GIRFT, etc.
