Job summary

This post is full time 37.5 hours per week Monday to Friday (9-5).

SOAMHS Triage triage and process all the referrals for older persons mental health and dementia assessments for West Sussex in accordance with the guidelines set out by NICE.

Main duties of the job

The main purpose of this role is to provide a comprehensive range of secretarial and administrative support to the West Sussex SOAMHS Triage team. The Triage team offers a screening and information service for people living in West Sussex referred to SOAMHS for assessment and treatment who are over 70 years of age and have complex mental health needs and people of any age with, or suspected to have, dementia. The post holder will be a part of the team that will screen and determine the clinical pathway for patients referred to the service. The majority of referrals will be made via the electronic referral system. This includes working and acting on own initiative and dealing with potentially complex situations. Job responsibilities

To work directly to the Team Leader and the multi-disciplinary team, providing a comprehensive and highly effective secretarial and administrative support service.

With support from clinicians, make decisions about appropriate onward care

To be responsible for the development of management of effective filing systems, including appointment booking, complex diary management and robust filing systems, adhering to the Trusts policies of file management

Provide a first point of contact for all face to face and telephone enquiries from a broad spectrum of people. This includes taking complex and sensitive telephone calls, listening and guiding callers through a satisfactory response and knowing when to seek appropriate clinician advice. This often involves contact with service users, their carers and advocates and relatives.

Accurately record and screen referrals using agreed criteria and liaise with clinicians to ascertain priority.

Provide excellent administrative and secretarial support, using appropriate software packages (this may include audio typing/speed writing/shorthand), working to strict timescales and to a very high standard of accuracy, following correct Trust presentation standards, using appropriate Trust templates. Documents include meeting minutes and agendas, clinical reports and clinical correspondence.

To maintain electronic service user records on the appropriate Trust software packages in order that all information is up to date.

To maintain clerical service user records, adhering to Trust policy on service user record keeping, standardising procedures for filing service user records and Trust archiving procedures/policy.

To undertake ad-hoc pieces of work, which may include the construction and management of complex spreadsheets and data collection in accordance with the needs of the service, utilising a range of software packages and reports available within the Trust.

To be proactive in organising and prioritising workload, managing own time effectively, highlighting problems as they arise and proposing possible solutions within available resources.
