Job summary

An opportunity has arisen for a Team Secretary to join our admin team here at Hastings and Rother ATS, which is part of Sussex Partnership foundation Trust secondary mental health service and based at Cavendish House in the heart of Hastings with good parking and transport links.

This role will include working across various parts of our team, supporting our physical health team, our duty team and being point of contact on the phone for patients, family, carers and third parties, working closely with both admin and clinicians to provide a professional service to our patients and their family and carers

Main duties of the job

  • This role will include supporting our Physical Health Team in managing appointments for them and any paperwork related to their work
  • Dealing with phones queries from a range of sources.
  • Dealing with calls/ queries in a timely and efficient manner
  • Supporting our Duty Team with a range of admin tasks on Tuesday and Thursday when other admin is off.
  • To support Reception and other admin functions as needed due to annual leave or unexpected absences.
  • To support our wider clinical team in a range of admin duties.

Essential

  • NVQ 3 or equivalent
  • RSA 3 or equivalent experience and evidence of further practical experience or equivalent
  • Good standard of secondary education; GCSE at Grade C or above or equivalent

Knowledge & Experience

Essential

  • Proven experience of a range of secretarial procedures
  • Experience of producing documents to a high standard of presentation with good accuracy
  • Experience of maintaining office systems
  • Experience of working as part of a team
  • Experience of working within the NHS

Knowledge

Essential

  • Proven experience of working as an administrator
  • Experiencing of generating own correspondence

Planning and Organisational skills

Essential

  • Ability to be able to plan workload, manage diaries, organise appointments, planning workload associated with key meeting dates
  • Ability to work on own initiative and prioritise own workload
  • Ability to work to deadlines and deal with conflicting demands
