Job summary

Are you looking for a new challenge in a friendly and supportive team?

We're looking for a part-time Team Secretary to join the Children in Care Emotional Well-Being Service based at the Portslade Hub, Mile Oak. We are an NHS team who work alongside and sit within local Children's Services teams.

The successful candidate will be providing excellent administration and secretarial support to our team of mental health professionals.You will be warm, enthusiastic, flexible and creative in your approach with a background in secretarial or administrative support. Experience of working with or for Children's Services would be desirable. The ability to foster positive working relationships and being a strong team player is essential.

Main duties of the job

Your role will be to provide excellent secretarial support to the team, including but not limited to:

  • Liaising with multi-agency colleagues and families to arrange network meetings, requiring co-ordination of multiple diaries
  • Handling all aspects of correspondence, including typing
  • Dealing with telephone and email enquiries
  • Data input and data base management
  • Processing of new referrals
  • Working across two different electronic notes systems (NHS and Children's Services) and two different email systems

Good communication skills are essential together with the ability to deal sensitively with people who may be distressed at times and patiently when trying to co-ordinate multiple busy diaries.

  • A relevant NVQ Level 3 qualification / RSA 3 or equivalent
  • Experience in a secretarial role or relevant administration experience
  • Experience of producing documents to a high standard of presentation with good accuracy
  • Experience using Microsoft Office including Outlook, Word and Excel
  • Experience of working within a physical or mental health care setting

It would also be advantageous if you:

  • Have experience of working with or within Childrens Social Care Services
  • Are familiar with the use of Carenotes and/or Eclipse
  • This position is for 22.5 hours per week and is a busy role with a varied workload. Therefore, we are seeking an individual who is able to find a balance between team working and utilising initiative.
