Job summary
The role of the Team Secretary is to provide a comprehensive secretarial, administration and information service to the consultants, clinicians and managers in respect of their NHS work and to the supporting medical teams. The role comprises a wide range of specific duties and requires competence in word processing, keyboard skills, audiotyping, communication and organisational skills. Qualification to AMSPAR Medical Secretary Diploma level or equivalent is desirable, as are medical shorthand and transcription skills, along with knowledge and understanding of medical terminology. An ability to understand the need for and to maintain confidentiality is paramount.
An essential part of the role is the ability to manage and prioritise own workload without direct supervision. Part of this role entails agile working on a rota basis.
Main duties of the job
o Be the front face of ELCAS by being part of the reception team, booking in patients, booking rooms, and ensuring the young people's reception area is maintained to a high standard.o Process and navigate urgent/crisis calls from patients presenting in distress to the appropriate team.o Processing referral information gathered from self-referrals onto the IAPTUS system and allocating this for triage to the appropriate team.o Communicate with clinicians and ensure best levels of care and clinical decisions are followed for patients in line with guidance from the Assistant Business Manager.o General photocopying of prescriptions, sensitive documents relating to patient care.o Working with the team to ensure urgent ICE referrals are communicated and processed accordingly.o Completion of relevant paperwork, obtaining records when necessary, and other appropriate documentation.o Recording, collation and calculation of daily, weekly, monthly statistics and forwarding to relevant departments.o Copy and prepare patient records for solicitors, retrieval and photocopy relevant information and complete necessary paperwork.o Maintain booking diary for clinical appointments.o Accurately produce from audio/copy, patient related correspondence/reports of a sensitive and complex nature, using appropriate software and within specific timescales.
