Job summary

The community mental health transformation programme is based on the national community mental health NHSE framework released in 2019. Our dedicated Mersey Care Transformation Team work with multiple secondary care teams to transform our services to improve patient care.

Our transformation journey is well underway and we now have an exciting opportunity for two experienced Project Administrators to come join us within our Transformation Team. Each post is 37.5 hours per week.

Main duties of the job

As a Project Administrator, you will be joining a small welcoming transformation project team and your day-to-day responsibilities will revolve around facilitating the smooth progression of our transformation initiatives. From reporting progress to key stakeholders and collaborating closely with the workstream leads, the programme lead and the project manager, you'll be at the heart of our journey towards success. Your meticulous attention to detail will ensure that every aspect of our transformation programme is meticulously supported and delivered.

Your role as a Project Administrator will involve coordinating workstream meetings, taking precise minutes, and managing project documentation with finesse. You'll play a pivotal role in maintaining clear communication channels and will build strong relationships to ensure that all team members, including our clinical colleagues are well-informed and aligned with our strategic goals through the delivery of transformation presentations and updates. With your dedication to excellence, you'll not only support our managers with compelling presentations but also proactively identify and address potential challenges, ensuring a seamless transformation process from start to finish.

Job description

Job responsibilities

The Project Administrator position is part of the Community Mental Health Transformation team, offering project administration and support to a complex programme.

  • Provide a project administrative service within the Community Mental HealthTransformation Team.
  • Use own initiative to prioritise workload and escalate conflicting priorities to managers as appropriate.
  • Receive and record all incoming mail and auto forwarded email transmissions to the relevant member staff. Prioritise the mail ensuring all urgent issues are brought to the managers attention and take action as directed by the manager.
  • In the absence of the manager ensure that all relevant staff are kept informed and updated on any issues/queries and seek clarification on what information requires immediate action.
  • Manage communication systems efficiently and effectively with staff and stakeholders.
  • Complete stock and non-stock requisitions, order goods services and/or equipment for theteam and act as authorised signatory where appropriate.
  • Contribute to team meetings suggesting as appropriate any improvements to service which may be practical in the area.
  • Contribute to general development initiatives and project work in line with servicerequirements.
  • The post holder shall as necessary provide cover for and undertake duties of absent colleagues.
  • Report progress to transformation leads and project manager throughout the project.
  • Work closely with the Programme Lead and Project Manager to ensure all aspects of the transformation programme are supported.
  • Work closely with the transformation team and workstream leads to deliver project plans.
  • Prioritise tasks effectively to support a range of workstreams simultaneously.
  • Schedule and support a variety of programme and workstream meetings including liaising with workstream lead in regards to scheduling, room booking, agendas and minutes.
  • Take accurate and timely minutes of external meetings including partnership meetings, and contract monitoring meetings as well as minutes of internal meetings such as the Business Transformation meeting and Community Redesign meetings.
  • Maintaining project documentation and folders including internal documents, teamsfolders and action logs.
  • Update project tracking information including work plan tracker.
  • Support Managers with PowerPoint presentations of behalf of the Transformation Team.
  • Be a point of contact for the transformation team initial enquiries.
  • Attend all transformation related meetings required.
  • Ensure potential difficulties are provided to the relevant transformation team members.
  • The post holder shall follow all the policies and procedures of the organisation.
