High Secure Mailroom Clerk

Job summary

An exciting new position to join the Merseycare NHS Trust's Mailroom within Maghull Health Park.

The Mailroom is presently located within the Central Services Building and provides mail deliveryservice to the Secure Division and the wider trust checking compliance with the security requirements of Secure Services.

Main duties of the job

1. To collect all mail from the Royal Mail Sorting Office, using hospital vehicle.2. Frank all external mail, for the Secure Division and wider trust, prioritising Special Delivery,Recorded Delivery, Air Mail and 1st Class.3. To complete x-raying and/or security checks, in line with Tilt recommendations, of all goodsto be delivered in to the Secure Area of Ashworth Hospital & the rest of the Secure Division.Check, note and raise awareness of any illegal or restricted items, such as weapons,explosives, drugs etc, with line manager. Investigate any suspicious items in line withdepartmental and hospital procedures. Adhere to the Patients Possession Policy withregards to stopping any items not permitted. Fill in all paperwork relating to the same.4. Documenting patient's property on when received through Royal Mail or couriers, eg,clothing, videos/DVDs/CDs/cassettes on PACIS (Patient Administration Clinical InformationSystem).5. Outgoing service users' correspondence to be x-rayed and personal items to be disposed ofon PACIS (Patient Administration Clinical Information System).6. Sort and distribute on a daily basis, newspapers and magazines topatients.7. Financial - Remove and receipt any cash, cheques or postal orders within patientmail/parcels and forward it on to the hospital cashier.8. Keeping documentation for service users' cash for audit trail.

Essential

  • Educated to GCSE standard or equivalent
  • Must have worked in a mailroom environment or prepared to be trained and developed as such
  • At least six months office experience
  • Ability to carry out manual and driving tasks, function as a member of a team and support the management objectives of the department and trust
  • Able to use a computer for data entry and simple data processing and communication tasks
  • Able to use a phone and deal with telephonic requests from service users, managers and staff in a friendly and helpful wayTo be aware of up to date initiatives including relevant legislation.
  • Good interpersonal and communication skills
  • Ability to work as part of a team
  • Good organisational skills and ability to react to rapidly changing requirements
  • Confidentiality is important in this post, as the work entails access to sensitive information.
  • Ability to resolve user issues
  • Ability to work unsupervised

Desirable

  • Current certificate or evidence of training
  • NVQ level 2
  • Experience of High Secure or similar environment
  • Working knowledge of office related software packages Experience of working in the NHS in a role managed by a supervisor or facilities management assistant
  • Driving Licence
  • Working knowledge/understanding of PACIS or other similar electronic administration software
