Job summary

An exciting opportunity has arisen for a capable and enthusiastic Administrative Assistant to join the Manchester University NHS Foundation Trust (MFT) Safeguarding Team based at Trafford Town Hall. Integral to the smooth running of the department, you will provide a comprehensive, high quality and efficient administrative service to the Team.

The post holder should have strong organisational skills, be an effective communicator and be able to work on their own initiative and as part of a team. This is a challenging and rewarding role in which you will be ideally placed to enhance your administrative skills.

With sufficient experience in an administrative role, you will have a good standard of education and a working knowledge of the Microsoft Office suite. Proactive, flexible and organised, you must have the ability to work to tight timescales and keep a calm head under pressure. You will be familiar with data protection issues and patient confidentiality. Previous experience of working within a healthcare setting is desirable.

An understanding of safeguarding would be advantageous.

In return we will provide a comprehensive induction programme and you will be appraised on a yearly basis with a view to developing knowledge and skills where appropriate.

Main duties of the job

Assist in providing a comprehensive and efficient administrative service to the Safeguarding Team.

Contribute to best practice and assist in developing working practices in the team to deliver an efficient and effective administration service.Ensure compliance with relevant procedures in the day to day running of the department

Act as an initial point of contact within the Safeguarding team dealing with telephone calls, emails and messages some of which are complex or contain sensitive information

The use of various I.T. systems (e.g. Child Health, EMIS, National Spine) to retrieve and input information.

Prioritise and allocate work resulting from the opening and actioning of mail (paper and electronic).

Develop and maintain, recording and administrative systems to supportsafeguarding processes.

Undertaking general office duties as required including filing, photocopying, collating and distributing information, receipt and distribution of incoming and outgoing mail (paper and electronic).

Develop and maintain good working relationships with internal and external partner agencies and services

Arrange meetings, preparing appropriate paperwork as required.Maintain electronic diaries.

Contribute to the provision of a reception service, greeting patients, staff, and visitors, and ensuring their customer service needs are met.

Contribute to the maintenance of appropriate stock and non-stock items.Contribute to the establishment and maintenance of electronic databases.
