Job summary

We are looking for an enthusiastic and conscientious Medical Secretary to join our Nationally Commissioned Highly Specialised Service, Neurofibromatosis Type 1 and 2 (NF1 and NF2). The successful candidate will be required to provide effective secretarial support the Consultants for the NF1 and NF2 services, together with associated medical and genetic colleagues and Clinical Nurse Specialists.

The successful candidate will need to be self-motivated, hardworking and capable of working on their own initiative as well as part of a team. Good communication and administrative skills are essential, combined with the commitment to demonstrate the Trust's Values and Behaviours framework and a genuine desire to provide a quality service to our patients.

The post's duties include providing a comprehensive secretarial service to clinicians, alongside a variety of other administration duties to support the smooth running of the service.

Main duties of the job

  • Responsible for the provision of a comprehensive, high quality and efficient administrative and secretarial service.
  • Prioritise work resulting from opening post, dealing with any correspondence where necessary and reporting any issues which need to be escalated.
  • Responsible for ensuring that day-to-day workload is organised, managing the consultants diary and ensuring that priorities are identified.
  • Typing of clinic letters and any other correspondence.
  • Entering and retrieving information required for clinic organisation from the departmental clinical database (Themis) and HIVE
  • Receive telephone calls from patients, hospital staff, GPs and other clinical staff, both internal and external agencies, dealing with all calls in an efficient, friendly manner, being sensitive and remaining calm and polite under pressure, taking messages and/or redirecting calls as appropriate.
  • Input information onto HIVE & Themis and any other relevant database in accordance with Trust procedures, in a timely way to record patient details, making appointments where necessary using HIVE.
  • Retrieving and inputting information obtained from the NHS Strategic Tracing Service
  • Arrange meetings, seminars and conferences, both internal and external, preparing appropriate paperwork, taking minutes if required and arranging travel and accommodation as required.
