Job summary
We are seeking a highly motivated and committed administrator, who has excellent attention to detail, strong communication skills and a willingness to learn. You will be part of a skill mixed team, working to build on good performance in order to maximise the contribution of the Community Paediatric Medical Service (CPMS) in Fareham and South East Hampshire.
The successful applicant will need to have good time management skills, be self- motivated with a positive attitude. In addition to these skills all administrators need to be customer focused, have an excellent telephone manner and proven IT skills, knowledge of SystmOne would be an advantage and have experience in using Microsoft programmes, such as Excel, Word and Outlook.
The Community Paediatric Team look after children in and out of the Fareham and South East Hampshire areas. You will need to ensure the smooth running of the Paediatric clinics, working closely with the Paediatricians and HealthCare Professionals/outside agencies. This post appoints for 3 consultants who run an average total of 14 clinics per month and have combined caseloads of 572 follow up patients across SE Hampshire, as well as completing all other admin tasks for the CPMS Medical Team, including Child Protection work.

Main duties of the job
Audio typing clinical letters, assessments and reports, paying close attention to detail, making corrections where necessary and highlighting queries, following service SOPs where needed. This involves full focused attention for prolonged periods of time.
Manage appointment bookings, updating electronic record system and sending appointment letters following Trust guidelines and targets.
Use & accurately populate the electronic record system (Systm One) with information to include referrals, scanning & uploading information from other services in a timely manner etc., taking responsibility for the quality of the data & taking note of the Health Records Standards & Procedures & Record Keeping Policy
Follow agreed processes for dealing with emails on Outlook and nhs.net, on a regular basis prioritising urgency & importance, signposting/dealing with queries (often sensitive) regarding issues arising
Attend & participate in team/other meetings, ensuring any actions are completed by the required date & take minutes if requested
Provide cover & support during times of absence for the core functioning of the admin team
Offer guidance & training of Band 2 or new staff as required
Maintain current office policies & procedures, be actively involved in their development
Provide admin support to the Business Support Team Lead to set up and review administration systems/processes as deemed appropriate
