Based near the stunning New Forest town of Lymington we are currently recruiting for an Apprentice Administrator to join our friendly team.

We require an administration apprentice to join our team, delivering a smooth and efficient administration service to support Outpatient Services for Southern Health NHS Foundation Trust. The successful post holder will be working within a demanding but rewarding environment, you will be contributing to the patient receiving their care. You will learn all aspects of the administration tasks needed to ensure that patients' appointments/ follow ups are booked in a timely and professional manner; also ensuring associated paperwork is processed efficiently. You may also need to assist with prepping of clinics and reception duties.

Main duties of the job

Providing the best service to our patients is vital and you will therefore be passionate about patient care and customer service.

Knowledge of computer systems would be preferable and after training you are prepared to use the telephone to communicate with patients, GPs and other hospitals.

To assist with and maintain the necessary administrative procedures to ensure effective outcomes are achieved within Elective Services.

Word processing of correspondence including letters, memorandums, agendas, minutes, reports, group material which will include spreadsheets and graphs.

Undertake all necessary Data entry.

Monitor generic email inbox and action / distribute as required.

Undertake a variety of clerical duties including photocopying, post, filing and scanning.

Answer the telephone, dealing with enquiries and distribute messages for staff or providing information to callers as appropriate.

Undertake specific projects as directed by your line manager.

Attend weekly, monthly, or as and when required meetings taking, transcribing and disseminating of minutes.

Assist with the arrangements for external meetings and appointments and preparation of any documentation required for such situations.

Covering other admin posts in times of absence and planned leave.

To support Receptionists in Clinic as and when required.

To maintain information storage systems for easy retrieval e.g., general filing systems.

Distribute information to staff when required.

To undertake any duties commensurate with the position.
