Job summary
The post holder will provide reception/ administrative services to the Staff Health and Wellbeing Centre.
The role requires good communication and interpersonal skills.
The post holder will have some responsibility for the day to day running of the reception desk ensuring the highest standard of customer service and communication is maintained.
Whilst providing an efficient customer service function to the patient, and visitors to the Centre, the post holder will ensure the telephone is answered and queries dealt with efficiently, record patient information, make appointments and escalate issues as necessary.
The post holder will be responsible for carrying out a number of clerical tasks such as the accurate input of data into the patient database system, spreadsheets and word documents.
This will include dealing with confidential information such as setting up and maintaining medical records, HR related reports and laboratory results
To act as Receptionist, Administrator to the Staff Health and Wellbeing Centre.
Assist in the booking of outpatient clinics (pre employment, management referral) and ensure relevant information is input on COHORT and internal spreadsheets.
Main duties of the job
To complete in line with the administrative pathway clinics e.g. pulling of medical notes, filing of notes in appropriate locations (physical and electronic), chasing and matching medical reports, arranging appointments.Ensure patient details are correct and accurately input on COHORT and internal systems.File letters, reports and any relevant correspondence into patient's medical notes.Monitor the shared email account as well as own and action appropriately.To book patients transport where required.Deal with enquiries by letter, telephone, voicemail or email from e.g. patients, GPs, external agencies, SLA Business Managers, other internal departments other hospitals, Trust Management, solicitors, and pharmaceutical and health provider representatives.Provide a courteous and efficient telephone service to patients.Communicate with patients/carers regarding personal or sensitive information.Training of staff within the boundaries of own skills and knowledge.Take personal responsibility for the quality of work undertaken and tocontribute towards service improvements.To assist with the monitoring and ordering of stationery for the unit including requirements for the photocopier.Co-operate in the introduction of "new technology" as it may apply to the Centre's administrative work.To assist with the typing of clinical correspondence when required.
