Job summary

We are seeking a dedicated Team Administrator to join our friendly team based at Huntington House, York.

You will provide comprehensive administrative and secretarial support to all members of the Memory Assessment team.

The main responsibilities of the role will be to provide full administrative support to a Memory assessment Service . This will include ensuring that information is gathered from GPs, and making sure that patients are invited to their appointments whilst keeping track of which stage of the clinical pathway the patient is on.

Main duties of the job

Excellent customer care skills and the ability to communicate effectively with patients and staff members who may experience some communication difficulties is an essential requirements of the role. Experience of working in a clinical area is desirable

Applicants must have a good education, sound IT knowledge and experience, with competency in Microsoft Office packages being essential. Applicants should hold NVQ level 3 in Business & Administration, or have a willingness to work towards a Level 3 qualification in Leadership and Management.

Arranges meetings, including booking venues, organising catering and distributing agendas, papers etc. Takes and distributes minutes as required and undertakes any other administrative follow up actions as required.

Accurately inputs, updates and retrieves data, in a timely manner, using a variety of systems including patient/client records. Assist in monitoring of performance information and data quality.

  • Level 3 Qualification in relevant field or equivalent experience or willingness to work towards Level 3 qualification in Leadership and Management
  • Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above/New GCSE in Maths and English (Grade 4 to 9) are an essential requirement to be fully competent in the role

Experience

  • Experience of working in an administrative environment (diary management, filing systems, meeting coordination, minute talking, data input, collating and presenting information)
  • Customer Service experience (face to face, answering calls, correspondence)
  • Experience of organising completing demands and workloads
  • Experience of setting up and maintenance of administrative systems and processes
  • Experience of working autonomously and proactively
