Job summary
This is an exciting opportunity to be part of a team of 11 practitioners and project support officers delivering improvement projects, training and coaching Trustwide.
The Project Support Administrator is responsible for providing a timely and efficient administrative support service for the Improvement Office, while providing administrative support to programmes and projects as required. This is a key supporting role to the effective running of the team, contributing to the coordinating of work ensuring compliance to our agreed service levels. The post holder will have current experience and working knowledge of Project Management tools and techniques and have the ability to work to tight deadlines
Our team works together to support each other to deliver real improvement through the rollout and sustainability of our Trust agreed improvement methodology using a variety of lean based tools and processes.
Main duties of the job
o Organise meetings and events for the Transformation team as required, being responsible for invitations, booking rooms, obtaining reports, checking they are in the correct format, collating, photocopying and distributing papers and sourcing any equipment. On occasions the post holder will be expected to liaise with external agencies in respect of venues and costings.
o Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team.
o Assist with the preparation of presentations, reports and other documentations as required
o Assist with the preparation of materials for White, Yellow and Green belt training
o Oversee and track all programmes and projects compliance to the standard project management methodology, maintaining a plan of milestones and stage gates and keeping records of all key project documentation
o Support and maintain the central repository for Quality Improvement Projects trustwide
