Job summary
Provide comprehensive administrative, clerical support to the Community Child Health team of Pediatrician's, Psychologist, Clinical Nurse Specialists, and Therapy Team. Work within a team based secretarial/admin service providing support for each other and ensuring continuity of the service.
Main duties of the job
Opening of post, prioritising and distributing on as appropriate.
Opening of all emails in generic email account, treating them as incoming post, prioritising and actioning as appropriate.
Assess all enquiries and respond appropriately, referring to senior members of the team when necessary.
Process referral letters in accordance with current booking procedure to ensure that we meet the Trust criteria (18 week)
Action any requests received, either by telephone or post, for repeat prescriptions.
Pull clinic notes for all Community clinics, liaising with other teams to facilitate the transfer of notes between sites in a timely manner so as to not miss the clinic deadlines.
Cache up clinics as appropriate and according to Trust guidelines and policies. This should be done within 24 hours of the appointment.
Undertake filing for the department. Maintain a filing system that facilitates the effective running of the department in accordance with current processes in place.
Archive old and closed files on an annual basis, following the current guidelines for archiving notes.
Attend meetings/training as requested.
Organise own work schedule, adapt the schedule as required to meet commitments to others within the agreed timescales and, where this is not achievable, give notification promptly with reasons to line manager.
