Job summary
To provide a full secretarial and administrative support to the QEQM Urgent, Emergency & Acute Medicine Head of Operations and Head Of Nursing, in order to ensure the provision of a high-quality coordinated service.
The post requires the post holder to undertake a large proportion of administrative duties independently; exercising initiative, discretion and skill, and to work flexibly with others across the Trust.
Main duties of the job
To effectively manage the diaries of the QEQM Urgent and Emergency Care Operational Director and Head of Nursing , co-ordinate appropriate meetings, and maintain effective brought forward system.
To proactively manage day to day tasks in an effective professional manner.
To manage agenda, preparation of papers, minutes and circulation of papers in a timely manner.
To attend and take minutes of meetings ensuring sign off and circulation.
To prepare travel / conference arrangements - processing appropriate expense forms.
To maintain effective filing system including relevant staffing files
To facilitate the production of division correspondence, reports, presentations and spread sheets as requested.
To ensure arrangements are in place to process relevant staff appraisals.
Deal with a wide range of telephone enquiries, resolving queries wherever possible or escalating as appropriate.
Assist with specific data collection as requested.
Support the QEQM Urgent and Emergency Care Head of Operations and Head of Nursing in developing robust administrative systems to ensure delivery of a high quality service.
To ensure the office is kept stocked with equipment and stationery as required.
To manage and prioritise own workload
Any other task commensurate with the post
