Job summary
The post holder will be required to work in a billing and credit control, taking responsibility to ensure that all episodes of care (Inpatient and Outpatient) are accounted for and billed accordingly.
The post holder will be required to work on your own initiative dealing with query resolution and all other aspects of credit control including assessing credit limits, inputting credits and debits onto the in house billing system.
The post holder will be required to work closely with the Administration Team, liaise with the various services providing departments across the Trust, as well as the other functions within the Northey Suite to ensure that billing is done accurately and on a timely basis.
The post holder will be responsible for maintaining the integrity of all financial information generated, putting in place strong internal controls and ensuring that legal and Audit requirements are met.
This central role within the unit requires a high calibre individual with excellent communication and interpersonal skills. The post holder must have the ability to work under pressure in order to meet strict reporting deadlines.

Main duties of the job
- The nature of the duties and reliance on IT systems and emails invariably means working at the keyboard for long periods on most days.
- The post holder is required to concentrate for long periods when organising, billing or reconciling complex financial data.
- Organises own workload on a day to day basis to meet predetermined/ agreed priorities.
- Handles cash and cheques in rare circumstances and supports the cashiering function.
- Discuss routine issues with non-finance staff in an understandable way.

Billing
- Verify that actual procedures performed in theatres for each patient against planned procedures are as per the admission booking, and ensure that discrepancies are quickly identified and rectified.
- To liaise with key contacts in the various issuing departments within the Trust i.e. (Theatres, Path Labs, Pharmacy, Radiology, Therapies, Dietetics, maternity Cardiac etc.) to ensure that the flow of information for recharging purposes, remains fluid.
- To, ensure that the turnaround time scales in respect of final bills for self-funding patients in particular and the various other purchases are swift and timely.
- To generate invoices via EDI (Electronic Data Interchange) billing as agreed with Healthcare Insurance companies.
- To assist with the process of the Month and Year End close down in respect of reconciling total income for the month/year.
- Ensure that audit recommendations have been fully implemented and that local internal control requirements are met.
- To deal with queries about specific chargeable procedures/ CCSD codes and medical reports for sponsored patients.
- Assist with the implementation of new systems and procedures to improve the efficiency of the billing function.
- Potential line management and co-ordination of future employees working within the Private patients finance division depending on the expansion of the business.
- To provide finance training to a non-finance manager and/or other private patients employees when required.
Credit Control

- To assist with recovery of all outstanding Private Patients debts via high volume telephone calls, in writing and face to face meetings.
- To ensure that average monthly recovery targets are met
- Ensure that there are robust internal controls and documented procedures for the functions.
- Assist with the implementation of new systems and procedures to improve the efficiency of the Billing Team.
- Deal with complex queries from patients, Insurance Companies and Embassies, including reasons for delays in invoices.
- Responsible for maintaining the units manual and computer filing systems
- To liaise with staff from source departments, Consultants etc. to resolve queries raised by debtors in an efficient and timely manner.

- Update and maintain the debtors files to ensure that a low debt profile is maintained at all times.
- To deal with verbal and written communications from purchasers and clients in an efficient and professional manner and ensuring that all communications are recorded accurately.
