Job summary

The post-holder will work as part of the Hospital Transfusion Team to provide support for the Electronic Blood Tracking (EBT) system, a system which tracks blood components during key stages in the Hospital Transfusion process. The role requires experience in managing IT systems and of teaching and demonstrating a new system. Teaching (generally ward/departmental based) will include provision of training in the system. The post holder should ideally have knowledge and experience of blood transfusion practice.

Main duties of the job

The main duties include support of the EBT IT system which includes but is not exclusive to responding to alerts and queries generated by the users, management of the equipment, liaising and working with system providers and Trust ICT.Teaching will include provision of training Trust staff in the system. In addition, the post-holder will assist with policy and protocol development, audit, incident reporting, liaison with the clinical staff and laboratory staff. This is an exciting opportunity to develop and learn new skills, as blood transfusion practice is continually evolving in response to Government and Patient Safety initiatives.

The post-holder will work within a small team working by the Trust values , who provide support and advice to the Trust relating to blood transfusion.

Job responsibilities

Working with the The Hospital Transfusion Team, Clinical staff, Service provider and ICT dept (Trust and SWLP):

Clinical: Is responsible for the safe use of the equipment in the wards/departments.

  • Overseeing, providing, monitoring and evaluating training and information for users of the EBT system and ensuring appropriate access rights.
  • Maintaining accurate records
  • Communicating with Trust staff and suppliers by various means.
  • Auditing use of the system
  • Escalating issues to the wider Transfusion Team as appropriate.

Operational: Is responsible for the maintenance of the EBT equipment by:

  • Configuration/setup/deployment of new devices
  • Ensuring all EBT equipment is validated and fit for purpose.
  • Managing real time alerts generated by the Blood Track system. This will include close liaison with clinical staff.
  • Ordering supplies and replacement equipment
  • Organising servicing of all equipment including liaison with users and suppliers and maintaining documentation.
  • Ensuring there is an adequate stock of replacement equipment overseeing the service agreement for loans of the equipment.
  • Testing EBT equipment.
  • Performing software configuration updates.

2.3 Policy, Service, Organisational, Professional, Managerial Responsibilities. Ensures the smooth and continuous running of the EBT system by:

    • Planning the delivery of the service across the Trust.
    • Reviewing changes to relevant policies, procedures and SOPs and communicating the changes
    • Ensuring Change Control and validation is documented
    • Working with the transfusion laboratory staff supporting issues relating to Traceability
    • Being responsible for the software and hardware maintenance contracts and warrantees.
    • Maintaining and providing records of equipment test results and equipment maintenance records as agreed.
    • To be a point of contact for periods of planned IT system down time which may be local to the Blood Transfusion laboratories or Trust wide.
    • Developing Risk Assessments.
    • Monitoring and updating the DPIA form
