People Systems Administrator - Band 3 - Part time (three days per week/ 0.6WTE) - from £22.8K to £24.3K PRO RATA + excellent NHS benefits

A People Systems Administrator is required to join our People Planning and Information Team at North Bristol NHS Trust.

Main duties of the job

As part of the People Planning and Information team you will be responsible for the daily administration of people systems, predominantly the Electronic Staff Record (ESR) the Trust's main people information system. Key duties include:

  • Providing advice and guidance to a wide range of users responding to enquiries via email, telephone and online video calls
  • Providing often technical advice to a non-technical audience and using your judgement to take the best course of action.
  • Delivering support and basic training to system users, managing the organisation of the training sessions
  • Participating in processes that improve the way we use our people systems

Communication

  • Provide technical advice and guidance on how to use people systems, particularly ESR self-service, to non-technical staff who may view the information as complex
  • Provide advice on how to use people systems to maintain individual staff members information which will often be of a sensitive nature
  • Respond to queries via email and MSTeams and manage people systems mailbox ensuring complex enquiries are highlighted to the relevant members of the People Planning and Information Team and communicating timescales to staff when responses will be received

Judgement

  • Interpret requests from people system users and respond with appropriate advice
  • Determine the best course of action for information requests from corporate teams, this will often require the analysis of more than one option and a judgment to be made on the best course of action

Planning, Organisation & Improvement

Deliver basic people systems training, both regular and ad hoc. This will include overall organisation of the sessions, room bookings, communicating to attendees and managing non-attendance

  • Provide training on people system functionality to both individual users or groups of users, and; corporate users
  • Ensuring training sessions can be balanced with other responsibilities
  • Managing all workforce Freedom of Information (FOI) requests ensuring the right members of the People Planning and Information Team and other teams contribute and coordinating a response on time
  • Participate in regular structured people system assessments carries out internally or by external organisations
  • Participate in data quality audits, running data quality reports and supporting the design of the work to address data quality issues

Policy and Service Development

  • Use people system standard operating procedures in carrying out daily work and raising any issues or proposed improvements as and when they arise
  • Providing feedback when requested on improvements to people policies and processes

Resource Administration

  • Managing small stationary budget and placing orders when required utilising the EROS ordering system
  • Carrying out a range of system administration and configuration tasks some of which you will be solely responsible for
  • Carry out regular reporting requirements, running reports, extracting data and processing ready to be used by stakeholders across the organisation and externally
  • Design and run basic ad hoc reports at the request People Planning and Information team members and wider corporate stakeholders
