Job summary

An exciting opportunity has arisen to work within the e-Rostering and e-Job Planning (ERJP) team as a team administrator, as we are expanding our team to support effective rostering and job planning across the trust. We will be recruiting divisional administrators to provide support to each of our clinical divisions.

The role will take responsibility for providing an effective, customer focused ERJP support service, ensuring all users are adequately trained and able to fully utilise the system, keeping data up to date, and aligning business processes to the system.

Main duties of the job

The post holder will be responsible for providing a high quality administration support to departments; designing and building electronic rosters and job plans as well as delivering formal and ad-hoc training on the system. The role will involve supporting implementation of eRostering and eJob planning, namely coordination of roster building and implementation with clinical, medical and non-clinical teams. The post holder will act as the initial point of contact and support for ERJP users within the Trust and will be responsible for undertaking various administrative duties to support the divisions by providing advice, collating information and producing reports.

Job responsibilities

  • Support the effective continual operation and expansion of eRostering and eJob Planning across all areas of the Trust including administration of all eRostering and eJob Planning systems and any other systems that the team may support in future.
  • Work closely with managers, clinical and operational staff to ensure successful implementation, utilisation, and management of eRostering and eJob Planning across the Trust
  • Responsible for completing all background tasks when setting up new units/departments on eRostering and eJob Planning systems.
  • Coordinate telephone, e-mail, and written communications for the ERJP service, ensuring timely and accurate completion of changes and requests received from managers, clinical and operational staff across the Trust.
  • Review and action requests received through the service desk, email/telephone for roster support and taking action to escalate to the eRostering Facilitators if further action is required.
  • Provide advice and support to staff on software and system queries.
  • Support the delivery of e-Rostering and eJob planning system training and maintain training materials.
  • Liaise with key stakeholders to ensure information is submitted for reports to meet deadlines, following up where information does not meet the required standards or is not submitted.
  • Routinely audit rosters to ensure compliance with trust rostering policies.
  • Ensure effective communication to the ERJP system users regarding roster deadlines, best practice and other changes as relevant.
  • Run reports as requested, either on an ad hoc or routine basis.
  • Develop and maintain e-Rostering system guidance and user guides, adhering to best practice and departmental SOPs.
  • Co-ordinate meetings; schedule dates, prepare agendas and related paperwork, minute meetings and distribute to relevant staff.
