We are looking for a Full time Administration/ Reception Assistant to join our team. In this role, you will be responsible for carrying out various administrative tasks that help coordinate teams within Humber Facilities Services effectively. This position requires a proactive approach, enabling you to manage and prioritise your workload independently.

Additionally, you will lead the effort to open the reception area and prepare the space to create a welcoming environment for staff and visitors upon their arrival. Your attention to detail and organisational skills will be essential in establishing a smooth and professional atmosphere.

Please note that this is a mobile position, requiring travel across theTrust's sites. Working hours are Monday to Friday, 9:00 AM to 5:00 PM, but these can be discussed during the interview.

Main duties of the job

  • Provide efficient and confidential administrative support to Humber Facilities Services, including Catering, Domestic Services, Portering, Reception, and Security.
  • Utilise Trust computerised administration systems effectively.
  • To be able to answer queries, utilise skills in problem solving, chasing, and progressing queries.
  • Scanning and photocopying, filing, word processing, and completing reports in a timely way, ensuring deadlines are met.
  • Manage all communication effectively (electronic, paper and verbal) in a confidential manner, document as appropriate and disseminate information received to their intended recipients.
  • Work without direct supervision in a conscientious, professional, and diligent manner.
  • Update and send to all sites order forms and allergen information.
