Job summary

The post holder will ensure high levels of patient and clinician satisfaction by being an accessible, patient focussed and knowledgeable point of contact. To provide a consistent approach across the Trust, Standard Operating Procedures (SOPs) will describe how the functions of this role will be carried out in each service. The standard job summary is described below:

  • To be the key contact for the allocated grouping of consultants, their junior doctors and genetic Counsellors, for all patient related and administrative matters.
  • To be the key contact for all patients under the allocated grouping of consultants.
  • To work within the Clinical Support Team to deliver high quality administrative services toallocated clinical team.
  • To monitor designated patients throughout their pathway, from point of entry, escalating issues promptly, in order to ensure compliance with waiting time standards.
  • As required, support the coordination of national and local audits/data by effective data collection

Main duties of the job

Communication and Relationships

  • The post holder is required to work alongside and under the supervision of the Clinical Support Team Leader and Office Manager, Assistant Service Manager and Assistant General Manager.
  • Ensure regular communication with clinical teams, Office Manager, Assistant Service Manager, Lead Clinicians, CNS Team and support services. i.e. radiology, pathology, out-patients, using email, telephone, face to face and in writing as required.
  • The post holder must be competent in word processing and basic spreadsheet skills.
  • The post holder is required to monitor and input data daily regarding the patient journey. They will be required to analyse the data to assess if targets may be at risk of being breached, taking actions to eliminate a breach in targets.

Data Management

  • The post holder is responsible for ensuring that RTT pathway is up to date and has been completed correctly.
  • The post holder will meet regularly if required with the Clinicians or clinical counsellors to validate the status of the patient pathway
  • The post holder must ensure that all patient identifiable information is stored securely on the network drive.

Administrative Coordination

    • The post-holder is required to provide administrative support for meetings, on a regular basis.
    • The post-holder will be responsible for the compilation and the availability of all necessary records (i.e. notes, imaging and investigations) for management and clinicians as required
