Rota Coordinator/Personal Assistant

Job summary

The Rota Co-ordinator will provide comprehensive administrative support service to the Matrons and Ward Managers, within Women's Services to ensure service objectives are achieved efficiently and effectively. The key function of this role will include the co-ordination of all staff rotas to ensure the service is resourced to the required levels each day. You will work alongside the administrative staff, maximising the skills and resources within this staff group including training and development to meet the changing needs/demands on the service.

Main duties of the job

  • To participate in induction programmes for Midwifery and Nursing staff. Ensuring a well-trained and highly motivated workforce.
  • Rota co-ordinator for Bank bookings and reallocation of staff to cover shortfalls.
  • To support the Matron/Ward Manager with the implement of any new processes or procedures. Support the maintenance of consistently high levels of quality, safety and performance across the organisation to deliver clinical excellence and high patient satisfaction through managing the rota ensuring adequate levels of staff.
  • To provide high level support to the Senior Management Team, including administrative services, diary management, meeting management
  • Act as a focal point within the department in managing internal communications. Ensure smooth running of the office through maintaining office systems including the development and maintenance of paper and electronic filing systems to ensure safe transfer and storage of information
  • To respond to telephone enquiries often of a confidential nature for the department, from all staff groups, patient's relatives and carers providing information. Providing information, prioritising queries as appropriate in a prompt and pro-active manner
