Job summary

We are pleased to announce a stimulating opportunity for an administrator. This particular opportunity is open to candidates are experienced administrators and familiar with the Microsoft suite of programmes including, Word, Excel and Outlook.

This is a particularly exciting time in education and EMAS have a range of students/learners accessing the Paramedic Apprenticeship, First Response Emergency Care (FREC) pathway (Technician), Ambulance Support Crew Programmes as well as statutory/mandatory learning and HEI students.

You will need to be confident to support administratively across the range of educational provision. The successful applicant will be supported by the clinical educators, driving educators and practice placement team.

Main duties of the job

Provide administrative support for the education team based at the Rosings Education Centre.

Assist in administrative tasks required for different types of courses run by EMAS education teams including registration and certification of courses, administration of education meetings, maintaining education records using relevant systems and supporting examinations.

They will be required to coordinate and support on Induction of new clinical staff. The role also requires the post holder to support the team in the raising of requisitions.

All processes and procedures of these tasks are to be carried out in an efficient and timely manner, to meet the given deadlines.

Job responsibilities

Provide administrative support to the Education team.

Liaise with a variety of internal and external stakeholders.

Work alongside the Central Organisational Learning Team and actively engage with a variety of processes and systems to ensure compliance.

The post holder will have experience of organising meetings and taking minutes.

Respond to internal and external stakeholder queries, making judgements on how and where to refer these.

Organise own workload based upon the agreed priorities/objectives of the Education Team. Engage with the Education team to ensure education processes have the administrative support they require and support the team in course preparation and once the courses are running.

Collate and process information relating to new starters e.g identification, uniform and IT access

Work with the team to ensure requisition of supplies and equipment and stock control to provide budgetary efficiency

Maintenance of relevant trackers and systems to ensure accurate reporting of student activity in line with the needs of the wider directorate.

Liaison across the centres to ensure most efficient use of administrative resources and allocation of workload

Provide support when required to apprentice administrators to ensure they have access to a variety of learning opportunities

Liaise with awarding organisations to ensure timely registration and certification of learners in line with awarding organisation rules and regulations.

Maintenance of centre calendars and resource allocation e.g. rooms, materials.

Provide a point of focus for student enquiries and signpost to relevant person/department
