Job summary
The post-holder will be responsible for the provision of high quality administrative support for a busy reception area. With colleagues, they will support the team as they take ownership of the area whilst carrying out administrative task.They will promote the professional and caring image of the Trust as they prioritise their workload and use their training and initiative when dealing with queries from clients, health professionals and members of the public.
Main duties of the job
The post-holder will be required to have excellent communication skills and telephone manner with the ability to multi task and prioritise workload.
Duties include answering calls in a polite and timely manner and signposting those necessary.
Communicate with colleagues via Phone, email, Microsoft Teams. Processing incoming mail. Prompt and accurate data entry.
Formatting and sending letters and other administrative task using Microsoft Software.
Attention to detail with good literacy skills are required as the successful applicant will support other administrators within the team in producing standard letters and assisting in entering referrals onto our Electronic Patient Journey System (ePJS) - experience in using ePJS is an advantage, but not essential, as training will be provided.

- To provide administrative support to members of the Lambeth Teams. This will include typing and sending emails, as directed by the Senior Team Administrators, to support the admin team with formatting clinical letters, sending appointment letters, in an accurate and timely manner.
- To be the point of contact for all doctors appointments, keeping clear records of appointments made. To keep clear records of bookings for consulting rooms as well as meeting rooms.
- To order clinical and Non-Clinical items for the teams, liaising with the relevant administrators to ensure such deliveries are signed for by the appropriate team.
- Health & Safety: To complete the Health & Safety Log on a monthly basis to report all problems with the infrastructure of the reception area and offices to the facilities department. To work closely with administrators to report and record all maintenance issues in a timely manner, following up outstanding requests as required.
- To be a Fire Warden and undertake the necessary training every two years.Training: To ensure all mandatory training is kept up to date and to participate in any additional training and developmental needs as required by the Business Manager.
- Assist with the induction of new staff to the team and to assist with other staffing set ups as necessary.
- Reception cover- Able to cover the reception breaks and annual leave
- To be able to cover the senior administrator when they are on leave or any absences.
- Data Protection: To be comply with the data protection request and assist senior administrator in gathering information required.
- To work in a flexible and open manner in line with the needs of the service. To attend regular supervision and annual appraisal meetings. To undertake any other duties considered relevant by the management of Lambeth LWC Services appropriate to the banding of this post, as negotiated with the Admin Lead.
