Job summary

Hybrid Role Working From Home in the main , but also across a number of sites in Croydon.

The post holder will provide administration cover for Croydon Opportunities, Reablement and Engagement Service (CORE) . The service is looking for an enthusiastic, flexible and reliable receptionist/administrator with a 'can do' attitude. The experienced team player will join, support and work along side our existing small team of administrators and develop their skills within the Trust.

The post holder will be responsible for providing an effective and efficient reception/administration service.

The post holder might be the first face-to-face contact for clients, therefore, should ensure that the client's experience with Croydon Opportunities, Reablement and Engagement Service (CORE) is efficient, effective, responsive, and sensitive to their needs, and promotes the good image of the service.

The Post Holder will be required to input large volumes of a data into the CORE database and Systems daily. They will be responsible for the input of referral information, gathered data, monitoring of its quality and making sure that entries have been done done in a timely and accurate manner. This role will also include other more general duties such as post, photocopying and other administrative duties.

Main duties of the job

The Post Holder will be required to have excellent communication skills and telephone manner with the ability to multi task and prioritise their workload. The post holder will be responsible for answering and signposting calls, emailing clinicians, dealing with post, liaising with colleagues, other administration tasks and working to deadlines.

Attention to detail with good literacy skills are required as the successful post holder will support other administrators within the team replying to emails, queries etc and entering referrals onto the CORE database and other clinical systems.

Croydon Opportunities, Reablement and Engagement Service (CORE) offers

CORE has two pathways:

The Reablement pathway which is offered, as an alternative to care co-ordination. Staff will work with clients for a period of 6-12 weeks, with a view to helping them to develop resilience, develop goals and/or reduce their dependence on mental health services.

The Vocational Pathway provide staff will offer person centred support after referral and assessment, as either a one off piece of advice or continuing sessions up to one year. This Pathway is delivered on a co-working basis with CMHT staff. Vocational work is for clients who would like to explore social or community activities, such as training, education, volunteering and / or employment, as part of their recovery.

The Post Holder will be part of the team who help deliver these services.

The Post Holder will provide reception and administrative support to Croydon Opportunities, Reablement and Engagement Service (CORE) providing timely, accurate data entry onto CORE Excel spread-sheets and also other IT clinical record systems, ensuring that all appointment bookings are kept up to date and booked within the specified timeframe.

The Post Holder will be a point of contact for clients accessing the service (face to face and on the telephone).To greet all visitors including clients with appropriate courtesy and sensitivity.

The Post Holder must be able to deal with frequent exposure to highly distressing or highly emotional circumstances which can include dealing with verbal aggression from patients and dealing with clients who are in crisis. As a result the Post Holder mustbe responsible for ensuring that complaints are dealt with quickly and appropriately in accordance with Trust procedures

The Post Holder will also have liaise with the appropriate professionals and agencies to ensure a continuing co-ordination of client care. This could include GP's and their administrators.

The Post Holder will be responsible for developing, implementing, and maintaining effective administration procedures to support the team and to ensure that computerised systems in place are accurate and up to date. Furthermore, to ensure that the members of the team are trained in the use of the administration and data collection systems including temporary staff, researchers and trainees.

The Post Holder will be expected to work as a team member, collaborating with other team administrators within the service, providing office duties including photocopying, opening post, typing, data entry, filing, checking, and taking messages and answering the telephone, ensuring that there are adequate stocks of up to date, Trust information available, and on display. To provide appropriate cover for other administrative staff when necessary.
