Job summary

The post holder will be responsible for the day to day management and supervision of Community Living Well's service user facing administrative staff that support the service. The administrative team is site based but there may be scope for occasional work from home for this role.

The post holder will be part of the Senior Management Team within Community Living Well Talking Therapies and will contribute towards service development and improvement including: the development of performance and activity reporting systems and developing systems to support the optimal use of resources for efficient and effective admin and business management processes.

The post holder will provide additional support to relevant projects through the production of accurate, timely, clear and concise reporting.

The post holder will champion the delivery of a service user focused service, promoting excellent customer service and effective working relationships both internally and externally.

Main duties of the job

  1. To manage and supervise administrative staff, identifying training and development needs for relevant staff, carrying out appropriate action as required
  2. To recruit staff as required (including temporary staff).
  3. To ensure that through training and supervision, administrative staff treat patients, carers and others in a consistently professional and polite manner either in person, on the telephone, by email or letter
  4. To hold regular Admin Team Meetings, and attend and contribute to team and senior management meetings
  5. To provide in-house admin support and training and development in the use of ICT, admin and business systems as required
  6. To organise the day to day work of temporary administrative staff as necessary for cover and be responsible for signing off their timesheet
  7. To provide oversight of the team phone line, email account, referrals, appointment booking and cancellations; manage any complex or difficult issues escalated by more junior staff and ensure a quality service is provided
  8. To provide oversight of the admin team and ensure all service and Trust policies and Protocols are correctly followed.

  12. The post holder is responsible for monitoring of performance against set targets, this includes data quality targets and Service KPIs
  13. Prepare monthly activity and trend reports and analysis to inform accurate forecasting of performance against key financial, service and quality targets
  14. Manage and coordinate data collection of designated administrative and managerial processes, e.g. complaints, critical incidents, serious untoward incidents, and safety alerts, ensuring systems are in place across services within remit to provide all statutory, regulatory and other information required by the Trust
  15. To develop administrative and business processes within the team
  16. Highlight any data quality issues to the management team and agree actions to improve and quality assure all base data to ensure it is fit for the appropriate audience
  17. To coordinate and manage projects under the direction of senior management as required, this includes, assisting with project setup from a project planning, space planning, and time and resource tracking perspectiv
  18. Collecting project metrics including cost, time, quality, and ris
  19. Scheduling and attending project meetings and documenting meeting minutes and action item
  20. Managing risks and issues list to ensure issues are documented and actioned as appropriat
