Supporting the Trust wide HR systems (Electronic Staff Records (ESR), Healthroster Suite

(Rostering, Employee On Line & BankStaff Modules) & Greenlight) including system inputting,maintenance; undertaking Disclosure & Barring Service (DBS), Identity Badges, basic HR Policyadvice, training and support to all levels of staff and multi-professional groups across the Trust

The People Services Team is the HR Team responsible for much of the operational HR work at CNWL. We are responsible for processing changes to ESR and HealthRoster, providing references, issuing ID renewals, assisting managers with their temporary staffing needs and much more! This role is the perfect opportunity to develop skills in a lot of areas of operational HR.

The People Services Team receive a high number of phone calls and emails; you will have excellent customer service and time management skills allowing you to meet the needs of our customers across all of the areas of our work. You will work with the other HR Teams and service managers to assist CNWL in providing the highest level of clinical care to our service users.

Job responsibilities

Key Responsibilities:The People Services Helpdesk Assistant is responsible for assisting in the maintenance and user adoption of the HR systems and carries responsibility for:

1. Provide basic training, advice and assistance to system users.2. Provide a 1st line helpdesk service - investigating, problem solving and dealing with system maintenance.3. Maintaining user access to the HR systems.4. Ensuring staff queries about the use of the HR systems are answered in line with Trust guidance and governance requirements.5. Planning and organising the workload to ensure systems operate effectively.6. Maintenance and audit of HR systems data and databases.7. Support the payroll extraction process by contacting managers and chasing to finalise rosters.8. Work autonomously and within specified deadlines.9. Provide general administrative support to the People Services team.10. Receive and make telephone calls as required. Divert calls and take messages ensuring accuracy of detail and prompt appropriate delivery.11. To present a calm and friendly image to clients. 12. Input and maintain data onto relevant HR Systems.13. Recognising and responding to individuals who have communication barriers. Ensure an effective and efficient front of house service is provided to any visitors to the workplace area.14. Deal with all general enquiries, communicate procedures and provide clear and consistent advice and training to end users of the various HR Systems.15. Be first point of contact for all Service Users.16. Responsible for triaging calls and queries to the relevant people/teams across People Services remit.17. Responsible for the password resets to Healthroster and ESR Self Service.18. Responsible for perusing Services Users to finalise Rosters.19. Responsible for all pay related issues before escalating to 2nd line responsibility.20. Responsible for making random employment checks & Healthroster 1st & 2nd Approval process.21. Responsible for entering & amending Annual Leave entitlements on Healthroster.22. Responsible for updating Healthroster and ESR of staff Buying or Selling Annual Leave.23. Responsible for the set ups of EOL accounts.24. Responsible for the daily monitoring of the ESR Data download.25. Accountable for providing excellent Customer Service advice and support.26.
