Job summary

South Tees Hospitals' NHS Foundation Trust's Children & Young People's Speech & Language Therapy has a vacancy for part time admin and clerical support.

The postholder is required to provide comprehensive administrative and clerical support to this busy service which delivers therapy assessment and support to children and young people across Middlesbrough and Redcar & Cleveland areas. The service has its main administrative base at North Ormesby Health Village, where the admin & clerical team are based, but clinical staff travel across the area delivering support into homes, nurseries, schools and our local hospitals.

Main duties of the job

To assist in the provision of a comprehensive secretarial, clerical and administrative support to the Children's & Young People's Speech and Language Therapy Service in the Women & Children Collaborative within South Tees Hospitals NHS Foundation Trust.To coordinate and manage appointments and clinics on a daily basisTo provide a high standard of clerical support in the proof-reading and sending of specialist letters and reports including safeguarding reports and Education Health & Care Plan reports ensuring reports are sent within statutory timescalesTo liaise with other departments and external agencies where necessaryTo supervise and train band 2 clerical staffTo facilitate the smooth running of the department and to take an active role in the ongoing development of the clerical services

About us

The Children & Young People's Speech & Language Therapy Department comprises 28 qualified therapists and 13 assistants, as well as full administrative support from 5 clerical staff. Clinical specialisms covered within the team include Early Years and School Aged Special Educational Needs & Disability (SEND), Autism, Eating, Drinking & Swallowing, Communication Aids, Speech & Language Disorder, Hearing Loss, Stammering. There is also a strong focus on multi-lingualism and its impact on communication development.

The service offers excellent supervisory support as well as frequent and regular team meetings.

The team also enjoys the collaborative work with a small team of 4 colleagues providing clinical coordination, support work and administrative support for the Under 5s Neurodevelopmental Assessment Team who sit within the Children's Speech & Language Therapy service

Qualifications & Training

Essential

  • Minimum of 5 GCSEs (or equivalent) including English & Maths at Grade C or 4 or above
  • NVQ Level 3 in a relevant area or equivalent and relevant administrative knowledge and experience

Desirable

  • Attendance at foundation improvement training and the new and aspiring leaders program within first year of role

Experience

Essential

  • Relevant clerical/administrative experience
  • Experience in the use of electronic patient administration systems

Desirable

  • Experience of SystmOne
  • Experience of working in a children's community healthcare setting

Knowledge & Skills

Essential

  • Good understanding of a range of administrative and clerical work procedures and practices, including Microsoft Office
  • High standard of keyboard skills
  • High standards of written English to ensure that all documents generated by the department are grammatically correct and reflective of the department's focus on speech and language
  • High standard of interpersonal skills to work with a wide range of professionals and families, often dealing with sensitive and confidential information
  • Ability to deal with occasional emotional or distressing situations either face to face or over the telephone and able to diffuse potentially problematic situations
  • Proven problem-solving skills for situations such as rescheduling clinics, finding different appointment slots
  • Ability to deal with frequent interruptions and complex enquiries from service users, their families and other professionals
