Job summary
This pivotal role combines advanced Executive Assistant duties with proactive Business Support responsibilities, providing comprehensive support to the Chief Operating Officer (COO).
The position is based within the COO Administrative Office, which comprises two Senior Business Managers, the Emergency Preparedness, Resilience and Response Team, and the Business Support Officer. The role is office-based at SABP Headquarters and aligns with the COO's operational requirements and needs. The post holder will demonstrate exceptional organisational skills, ensuring the COO and their office receive robust administrative, executive, and business support. Desired skills include knowledge of project management frameworks.
Key aspects of the role include managing and responding to emails on the COO's behalf (both internal and external), coordinating, and following up on actions to ensure the COO is fully briefed for meetings and working collaboratively with other Executive Assistants.
Main duties of the job
The Executive Assistant and Business Support Manager will be expected to coordinate the COO's diary while safeguarding their time. The position demands a prominent level of autonomy, advanced written and verbal communication abilities, and readiness to work independently with minimal supervision. Office presence is expected five days per week, with flexibility for four days where operationally appropriate. The role also involves supporting during incidents, including acting as loggist to support the Emergency Preparedness, Resilience, and Response (EPRR) function.
Additionally, the post holder will be responsible for managing short notice and urgent requests, re-prioritising tasks as necessary to ensure the COO's office remains efficient and responsive to changing demands.
