Job summary

We have an exciting opportunity for a Band 3 SPA Admin to work within the Community Mental Health Team for Older People, mainly in the Single Point of Access, in Surrey Heath. The opportunity is for 3 days a week and we are an 8-8 service. The team is leading the way in innovative, integrated working with primary care and were recently awarded the RCPsych Psychiatric Team of the Year 2018 Older-age adults and Highly Commended at the Promoting Positive Practice in Mental Health Awards in 2019. The Service is also MSNAP Accredited.

You will be the SPA Admin, providing support to the ICT SPA & CMHTOP. You must be able to demonstrate safe and competent inter agency and multi-disciplinary working.The role requires working closely with the team and the ICT as we continuously improve the delivery of high quality, patient focused services and develop a strong empowered workforce.

Main duties of the job

  1. To be responsible for maintaining the confidentiality and security of client data in accordance with Trust policy.
  2. Knowledge of a full range of secretarial procedures and software programmes through RSA3/NVQ3 or equivalent experience.
  3. To be able to use SystmOne, SABP electronic health records system, and accurately enter information including scanning and uploading correspondence as well as dealing with appointments and health care professionals diaries. Also able to check client data to ensure it synchronised correctly, check client appointments as well as uploading clinical information on to SystmOne as required.
  4. Answer telephone enquiries/messages and transmit to team members according to priorities; maintaining a helpful and courteous manner at all times
  5. Deal with the day-to-day demands on the service and aim to resolve problems with the Admin Lead and Team Managers and relevant clinical leads. Use own initiative to ensure that urgent matters are brought to the attention of the Advanced Practitioner/ICT Team Leader.
  6. Provide mutual support to the team during times of workload pressure.
  7. Be able to cover CMHTOP Admin at SPA in the ICT, when required.
  8. To provide reception support as and when required.
  9. Ensuring referrals are processed promptly and efficiently.
