Job summary

Part time Administrator (22.5 hours per week) for Developmental Paediatric Service

Children and Family Health Surrey

Jarvis Centre, Stoughton Road, Guildford Surrey GU1 1LJ

We are looking for an experienced Administrator to work in our busy office, following complex processes for tasks relating to statutory work involving children in care. In addition to this you will support the team in general administrative work such as dealing with telephone enquiries from service users, making appointments for children and supporting the day to day running of our Surrey wide service. This role is based at the Jarvis Centre, Stoughton Road, Guildford, Surrey.

You will be supporting the Lead Administrator with tasks such as formatting reports, the management of spreadsheets and assisting the Paediatricians. You will need to have a keen eye for accuracy and be competent in all aspects of Microsoft office.

Ideally you will be able to work Wednesday, Thursday and Fridays but working days can be discussed at interview.

Main duties of the job

Providing support to the Lead Administrator and Surrey wide Business Lead for reporting of figures for service KPIs (Key Performance Indicators).

Creation and management of any necessary spreadsheets.

  • Site specific responsibilities which may include (but not be limited to) administration for Adoption, Looked After Children, Initial Health Assessments, Safeguarding and Educational Health Care Plans including liaising with key staff at Surrey County Council.

Communicating with parents of patients and other organisations involved in the care of patients.

Audio/copy typing reports and letters dictated by the Doctors.

Formatting letters and reports created by the Doctors.

Answering phone calls and dealing with queries.

Monitoring and actioning the generic team admin inbox

Booking and rescheduling of appointments for Paediatricians across Surrey.

Other general administrative duties associated with the role.

About us

The Developmental Paediatric Serviceis a family-centred service dedicated to helping children and young people to manage health problems that may be affecting their developmental progress.

Our Surrey-wide service is led by consultants and assesses children and young people experiencing a wide range of developmental difficulties related to:

  • Developmental delay or disorder
  • Neurological disability
  • Autism spectrum disorder (ASD) - under 6 years old
  • Attention deficit hyperactivity disorder (ADHD) - under 6 years old
  • Cerebral palsy
  • Severe learning difficulties (SLD) and/or complex needs

Assessments focus on physical, sensory, social and emotional development and any recommended interventions are discussed and agreed with the family.

The Developmental Paediatric Service works closely with other professionals, such as therapists, nurses, teachers and social workers to ensure a cohesive and joined-up approach is in place for the child/young person.

Send out any reports, questionnaires and information leaflets to parents and GPs

Maintain clinic room with relevant forms and equipment

To ensure incoming and outgoing post and parcel deliveries are dealt with efficiently on a daily basis

Distribute reports and uploading of referrals to the referral portal
