Job summary
The post-holder will perform the administrative support required to provide a timely and responsive service to manage Freedom of Information (FOI) requests to ensure the Trust fully complies with all aspects of the freedom of Information Act 2000 (FOIA).
The post-holder will maintain a detailed record keeping system (FOI Database) for the recording, processing and fulfilment of requests for information made under the Freedom of Information Act 2000 in accordance with legislation and Trust policies and procedures.
The post-holder will also have responsibility for specific tasks/projects as required including general administrative support for the Information Governance team.
Main duties of the job
Bank FOI Admin Duties:
Acknowledgement, and where necessary, clarification of requests received
Recording, updating and monitoring of requests, including recording outcomes where a request was refused, or exemption applied and detailing the basis of how decisions were reached
Allocation of requests to appropriate colleagues and any outstanding requests are followed up routinely to meet the timelines specified in the Act
Collation of information and drafting of responses for Executive approval
Submission of completed requests to the requestor, including providing details of the FOI complaints procedure
Recommendation of any applicable exemptions
- Be the Trust's point of contact for FOI queries internally and externally
- Maintain current knowledge of the application of the FOI Act 2000 and associated case law
- Advise staff on the requirements of the Act and their duties and responsibilities under it
General Admin Duties:
- Attend meetings as and when requested on behalf of the Information Governance Manager
- Perform administrative and secretarial support for the Information Governance Manager, such as organising meetings, distribution of information prior to meetings, taking and transcribing of minutes and arranging distribution of minutes and actions
- In addition, assist the IG Manager with IG training compliance, and identifying Information Asset Owners
- Undertake any additional duties commensurate with the post
