Job summary

The Women's Health and Paediatrics Quality and Safety (Q&S) Team are looking for a motivated, forward thinking and innovative team member to assist with the divisional Quality and Safety priorities. This post is to job share with the existing post holder.

This is an exciting opportunity for an experienced administrator to work as part of the Women's Health and Paediatrics Q&S Team. This position will play a critical role in the coordination and support needed to deliver effective Q&S initiatives across the Division.

This role will provide high quality administration to the team working in a fast paced office.

Responsibilities will include the smooth running of the office including arranging meetings, supporting writing of letters to families, accurate diary and tracker management and recording meeting minutes and actions across the Division.

The post holder will have effective organisational, extensive IT and time management skills which will be used to support the team in meeting deadlines.

Main duties of the job

To be the first point of contact for the divisional Quality and Safety Team dealing with routine and non-routine enquiries, communicating relevant information to the most appropriate person in the Team. Answering telephone calls, taking messages and passing on to the relevant person and signposting.

Prepare agendas and papers for governance meetings across the division.

Interacting with a multi-disciplinary team in a very busy office environemnt, dealing with highly complex and sensitive information, often requiring appropriate judgements to be made under minimal supervision.

To be responsible for ensuring that the Division's Quality and Safety intranet pages and notice boards are kept up to date with relevant information and learning.

Ensuring high quality and accurate diary management, engaging with various stakeholders both internally and externally across the ICS.

Ensure local & SI investigation action plan trackers are kept up to date and assist the team in collating action plan evidence.
