Job summary
We are looking for a Pharmacy Procurement Assistant to join the Pharmacy Business Team. The individual will support the Pharmacy Business Team in meeting the team objectives to maintain sufficient medicines stockholding by ordering medicines and chasing suppliers for out of stock lines, pay all invoices within 30 days, ensure invoice prices are correct. Manage the invoices for Insulin Pumps and Medical Gas Cylinders. Raise monthly sales invoices for customers with Service Level Agreements.
Main duties of the job
- Supporting daily functions within pharmacy procurement, working closely with the Pharmacy Procurement Manager and Distribution.
- Responsibilities include, but are not limited to, daily ordering pharmacy stock, trouble shooting, respond to adhoc queries, ensuring standards are always adhered to.
- Applicants should have excellent communication skills and strong prioritisation skills in an often fast paced environment. We are looking for a motivated and enthusiastic individual who can work effectively as part of a small team
- To perform duties relevant to the post as deemed necessary by the Chief pharmacist.

To process orders twice daily for pharmaceuticals on the Ascribe system (EMIS Health Pharmacy) according to the request sheets from the Dispensary and Distribution teams. To comply with local procedures and audit requirements to ensure continuity of supply of medicines to patients. This includes procuring urgently required and unlicensed drugs in the absence of the Purchasing Manager Assist the Pharmacy Procurement manager with basic pharmaceutical purchasing according to Standard Operating Procedures (SOPs). Assist the Pharmacy Procurement manager with processing invoices for payment in line with lead times and legal requirements as per SOPs. Answer telephone calls, liaise with suppliers, handle routine queries, and forward to senior colleagues if appropriate. Manage the pharmacy procurement office administration, including filing of all purchase order paperwork according to document holding policies, electronic filing on the shared drive, scanning, and emailing of purchase orders, and other administrative tasks as appropriate to the role.

- Educated to GCSE standard with Maths and English at grade C or above

- Level 2 NVQ in Pharmacy Services.
- Minimum of 2 years experience in a Hospital or Community Pharmacy.
- Experience of using an electronic Purchase to Pay system.
