Job summary

An exciting opportunity has arisen for a full-time Radiology Interventional Coordinator.

To support comprehensive and effective patient pathways within the Radiology Directorate; encouraging high standards in all staff by personal example and constructive supervision. To work as part of a team with other disciplines towards shared objectives. The service within the Radiology Directorate serves a population of approximately 3 million, with a cohort of patients also coming from further afield and perform over 500,000 exams per year across 12 modalities.

The post holder will provide secretarial services and support to Consultant Radiologists and the Administration Manager. The post holder will provide a confidential and professional service and be part of a highly experienced team.

Main duties of the job

The post holder will be responsible for a variety of administrative and clerical duties required to ensure support to Consultant Radiologists within the John Radcliffe Radiology Department. They will provide administrative support to meetings, ensuring that all relevant information is available to aid clinical decisions and record outcomes according to evidence-based protocols.

To work as part of a highly trained and experienced team, exercising initiative and prioritising workloads whist following Government and directorate set initiatives and policies without direct supervision.

The post holder is responsible, where applicable, for tracking the progress of Interventional patients through care services (e.g., Radiology and Pathology) and core services (e.g., Health Records). They will also be required to liaise with other departments and staff within the Trust and other Trusts involved in providing care and core services to ensure that planned patient treatment progresses smoothly and in a timely manner.

The post holder will also work as a 'buddy' for Radiology Secretaries. This will involve building up a working knowledge of the processes and practices' in all secretarial duties so that they are able to provide a basic level of cover, when required. Likewise, the post holder will develop (along with their supervisors and core MDT members) clear and written processes that make it possible for their own post to be covered by their 'buddy', when required.

Job description

Job responsibilities

  • To provide secretarial assistance to Radiologists and Managers as required.
  • To act as a contact for telephone enquiries from patients across a wide range of complex procedures, in a professional and confident manner.
  • Answer queries from patients and other colleagues in a timely manner, referring them to the appropriate person where necessary.
  • To confidently provide information where there may be barriers to understanding.
  • Manage future appointment system maintaining a timely retrieval system.
  • Be competent in the use of the Electronic Patient Register (EPR) to register patients and book out-patient clinic appointments.
  • Use EPR to add patients to waiting list for procedures within radiology. Attending them for examinations, ensuring PTL is maintained and updated as necessary, ensuring the data entered is accurate and correct.
  • Undertake relevant training on all IT systems within Radiology.
  • Receive and assist patients and other visitors in a friendly manner and deal with their enquiries appropriately within the departmental policies and guidelines.
  • Provide effective management of diaries, organising meetings and individual commitments.
  • Liaise with staff from external organisations as required.
  • Work diligently and carefully to ensure that all information is correctly entered onto the databases, keeping databases up to date with patient information changes.
  • To be able to use the departmental Radiology Information System to be able to attend patients when they arrive, make appointments and monitor orders and requests.
  • To provide an efficient service for all Interventional Radiology patients, from referral, booking appointments, tracking on EPR, revenue cycle and ensuring discharge is complete.
  • Comprehensive knowledge of excel required for tracking of all patients.
  • To be able to use the Picture Archiving Communication System to find patient images.
  • Request and track notes as required.
  • Deal with general enquiries from patients, relatives, staff and visitors.
  • Print MDT meeting lists and prepare discrepancy meeting lists and/or paperwork and email MDT Coordinators as necessary.
  • Typing letters for consultants as required.
  • Prepare and send results to referrers as part of the Urgent & Unexpected Findings Procedure.
  • Demonstrate own tasks to new starters as directed by the Radiology Admin Team Leader.
  • Undertake general administrative duties including typing, sorting and distributing mail, photocopying and scanning documents.
  • Retrieval of medical records to support diagnostic clinics.
