We require a Recruitment Coordinator to join our busy and dynamic Resouring Team within Temporary Staffing. This is a newly created position, which will be integral in the delivery of our high profile and newly established Medical Staff Bank. As the Recruitment Coordinator you will need to be enthusiastic, proactive and organised to support the delivery of an efficient and effective recruitment service to build and support the temporary staff bank for doctors

Main duties of the job

The Medical Staff Bank team supports the recruitment and safe on-boarding of doctors onto the Trust's Staff Bank, which books Doctors to temporarily cover gaps in staffing across the Trust. This role will involve working with a range of stakeholders including other Recruitment Assistants, Recruitment Coordinators, Hiring Managers, Candidates and Internal teams. You will play a pivotal role in leading all day-to-day recruitment administration activities and jointly manage a small and dedicated team. You will be responsible for the recruitment and safe on-boarding process from start to finish, in line with NHS Check Standards. This will involve engaging with candidates, completing administrative tasks, providing advice and support to all stakeholders, and you will obtain learning to become a subject matter expert on Temporary and Medical Staffing.

Management of the Medical Staff Bank Recruitment team

  1. To providesupport with the on-boarding of the medical staff bank
  2. To regularly update the medical staff bank and recruitment team with employment changes.
  3. Effectively manage the medical staff bank team to ensure there are adequate staffing levels for the core times (9.00 am to 5.00 pm)
  4. To coordinate and lead the daily morning team meetings ensuring daily priorities are identified and actioned
  5. To perform weekly activity reviews with each member of the medical staff bank and recruitment team, using KPI information from the Patchwork and TRAC systems.
  6. Ensure newly appointed bank workers receive a comprehensive and welcoming induction, liaising with clinical directorates as necessary.
  7. Ensure the medical staff bank and recruitment team are visible, supportive, and continuously improve the service provided to stakeholders.
  8. To always act as a role model, championing the Trusts values and continuously striving to improve the relationship between teams.
  9. Ensure all team interactions with stakeholders reflect the Trusts values and behaviours, challenging behaviours the Trust does not wish to see.

Recruitment

  1. Undertake full recruitment and onboarding process, responsible for completing all the necessary checks, in line with Trust procedures and national guidelines.
  2. Use and maintain the systems used by the Trust to recruit, onboard and set up medical staff bank workers, ensuring the accurate inputting of information and maintenance in line with Trust procedures.
  3. Liaise with systems expert users and where required attend necessary training.
  4. Where necessary liaise and work with colleagues from HR, recruitment, occupational health, HR records and LMS team.
  5. Contribute and support quality audits, as and when required.
  6. Meeting in person with prospective candidates for the medical staff bank.
  7. Working across all the Trust Hospital sites to promote the medical staff bank, working with divisional teams to identify and onboard substantive medical staff, championing the bank i.e., at medical induction.
  8. Provide a quick, efficient, and effective medical staff bank recruitment service, delivering on the Trust Recruitment KPIs.
  9. Work with the medical staff bank recruitment and HR team to deliver activity against the agreed KPIs.
  10. Champion value-based recruitment for all staff and provide support as a value-based interviewer.
  11. Daily management of the TRAC dashboard and Patchwork System ensuring all applicants are receiving regular updates and the daily tasks and queries are managed and answered.
  12. Conduct monthly data quality checks to ensure ESR is up to date and has no missing fields.
  13. Produce performance reports for review meetings and attend to update on compliance against the KPIs.
  14. Using reports from TRAC and Patchwork, provide weekly statistics to the Divisions to help monitor progress and performance.
  15. Provide specialist and general advice to the medical recruitment team, answer queries based on specialist knowledge of NHS check standards and employment legislation.
  16. Monitor the return of bank worker contracts and ensure the medical recruitment team are issuing the implied terms letters in a timely manner.
  17. Ensure the medical recruitment team have the physical resources to manage their day-to-day tasks, especially during large intakes.
  18. Provide a comprehensive, accurate and timely quality control process for all general appointments.
  19. Identify recruitment trends and implement initiatives with the Divisional Heads of Workforce and Medical Staffing Manager to increase the numbers of doctors registered on the medical staff bank.
  20. Manage the monthly update for medical staff bank recruitment, working with Divisional Heads of Workforce and Medical Staffing Manager to identify and support workforce priorities.
  21. Act as a point of contact for managers and locums; dealing and resolving recruitment and on-boarding matters, and where necessary, escalating to the most appropriate manager for action.
  22. Obtain regular feedback from stakeholders and review services and processes as required and escalating where necessary.
  23. Respond to Freedom of Information requests, as and when required to do so.
  24. When requested by the HR Consultant Policies and Procedures, contribute to the development and updating of the Trusts HR policies and procedures.
  25. As required, attend local and national workforce, recruitment, TRAC, Patchwork and NHS jobs networking events, updating the team with the content on return.
  26. Provide support, where necessary, to external careers events including but not limited to national careers events, milk rounds and schools to promote medical careers at OUH.
  27. Liaise with Medical Staffing to ensure they support the promotion of vacancies.
  28. Maintain and administer the Trusts medical staff bank microsite, ensuring it is accurate, up to date'; promoting the medical staff bank to external candidates.
