Job summary

This is a brand new post that will make a real difference to more than 15,000 colleagues at Oxford University Hospitals. We're looking for someone who is genuinely motivated and energised by making a difference to the working lives of our staff.

You will get to work on a range of initiatives that support staff with the current cost of living, such as our new £250 travel and transport benefit that is slashing the cost of commuting for staff. You'll also have the flexibility to research, propose and develop new rewards and employee benefits, whether it's negotiating a discount at a local retailer or creating a new website to showcase what we can offer new employees.

You will receive guidance, support and coaching from the Assistant Director of Workforce for Pay, Policy & Reward, as well as the opportunity to work with senior stakeholders across the organisation. You'll also get flexibility on how you work - whether that's from our office in Cowley, from your home, or anywhere in between. A minimum commitment of one day per fortnight on-site is preferred (just so we don't forget what you look like).

This is a fixed-term post for 24 months, with the possibility of a permanent contract.

Main duties of the job

  • To develop and implement a range of new reward and employee benefit initiatives, and review existing schemes to ensure they are generating a return on investment.
  • To develop our existing long-service and staff retirement awards to make sure we're properly recognising and rewarding our longest-serving colleagues.
  • To manage relationships with external stakeholders for our benefits platform, lease car scheme, and any other initiatives we implement.
  • To work closely with colleagues in other departments who deliver staff benefits - such as the travel & transport team, our catering outlets, and the Oxford Hospitals Charity.
  • To develop an annual plan of communications for our reward and benefit schemes with the communications team.
  • To update and maintain our existing intranet pages to make sure they are accurate and accessible, and hopefully migrate these on to a new external-facing website as part of our wider recruitment strategy.
  • Plus lots more (you'll be kept busy with interesting things to do, but not so busy that you won't have time for any new ideas!)

About us

The Pay, Policy & Reward team was created in October 2021 when the new Assistant Director of Workforce joined the Trust. Since then, the cost of living crisis has put a renewed emphasis on our reward & employee benefits offer - hence why we've created this new role. The wider team includes our HR Manager for Policies and Procedures, and our HR Records Team. You'll also work with colleagues across the workforce directorate as well as our award-winning communications team, our new cost of living group, a range of staff networks, and lots of talented HR professionals.

Work-life balance is essential, so we'll agree something that works best for you. We want to recruit the very best candidate, regardless of whether you live in Banbury or Belfast. You are welcome to work five days a week in our office in Cowley (with free car parking) or just a couple of days per month.   • Support the Assistant Director of Workforce Pay, Policy & Reward with the development and implementation of reward and benefit initiatives.
  • Evaluate providers of new reward and benefits providers and offer recommendations for implementation of new schemes.
  • Design and implement a dashboard and KPIs to allow the Trust to understand the return on investment from reward activities.
  • Regularly review existing reward and benefit initiatives for their cost-benefit and decommission schemes that are not providing an adequate return on investment.
  • Develop and review policies, procedures and systems that underpin the rewards and benefits provided to staff.
  • Develop and manage the Trusts scheme for long-service and retirement awards.
  • To manage the Trusts operational relationship with EdenRed (supplier of a discounts and benefits site for staff, provider of long-service and retirement awards, and third-party intermediary for the Cycle2Work scheme).
  • Support the Assistant Director of Workforce Pay, Policy & Reward with the administration of the local Clinical Excellence Awards scheme for consultants.
  • Administer applications for senior staff to utilise the Alternative Shared Payment scheme.
  • To work closely with colleagues in Estates to support the management of travel and transport benefits for staff, such as discounted bus passes.
  • Support the development and implementation of initiatives designed to help mitigate the impact of cost-of-living increases on staff.
  • Negotiate discounts and benefits with local and national businesses that will provide good value to staff.

Communications, Marketing and Engagement

  • Promote new and existing reward and benefit schemes through an annual plan of communications, plus ad hoc marketing campaigns where required.
  • Regularly market salary sacrifice schemes to ensure a regular uptake of new applicants, and to ensure that financial savings from such schemes are captured.
  • Promote the Trusts rewards and benefits to potential candidates, applicants and new starters through the recruitment process.
  • Monitor and update the relevant reward pages on the Intranet to ensure they remain accurate, accessible, and up to date.
  • Liaise with external consultants to co-ordinate and manage the delivery of specialist pre-retirement and pensions seminars and webinars, and financial wellbeing roadshows and events.
  • Populate the Total Reward Statements with the latest rewards and benefits for staff, and ensure that staff are aware when the bi-annual updates to the statements are made by the NHS Business Services Authority.
  • Work with the Trusts providers of soft facilities management to ensure that staff employed on Retention of Employment (RoE) contracts can access the same rewards and benefits as substantive staff, where appropriate.

Other Duties

  • Participate in national and regional benchmarking and networking events to ensure best practice is being adopted at the Trust.
  • Prepare reports on complex reward and benefit matters suitable for senior colleagues to present to formal committees.
